HOW TO FOLLOW UP after a Job Interview! (The PERFECT Interview Follow-Up Email Template!)

Your target audience may share similar interests, but understand that no two users are the same. Now, why does that matter? You need to keep in mind that what might work for one user may not work for another. Personalisation is the crux of follow-up emails that get a response.

This brings me to my next point.

The Interviewer Seemed Hurried Throughout The Interview Especially At The End

Note whether the interviewer took their time walking you out and concluding the interview, or whether they seemed rushed at the end of the process, after their last few questions.

Usually, if they took their time, its a sign the interview went well.

Unfortunately, if they rushed you out or seemed focused on their next task , its a sign that things probably went badly during part or all of the interview.

How Often To Send Follow

Around 90% of emails are opened on the same day they are sent. The same for the responsesthe chances are that your prospects get back to you the same day your campaign was sent are much higher.

So dont wait for too long to send your follow-up email. Typically, 25 days is the best timing to remind prospects about your offer.

Sometimes it could take a bit longer. For example, if you send your cold campaign on Wednesday, its better not to send follow-ups during the weekend and wait for the workdays.

For the longer follow-up sequences, more days gap needed for each new follow-up email you send. This will help you to stay in the loop and at the same time not look annoying.

What Does An Effective Follow

An effective follow-up email to send when you havent heard back from an interviewer will include a fantastic subject line and a crystal clear body. It will be brief but also have substance as well.

Your subject line is one of the most important aspects of your follow-up email. It is essentially a chance at a new first impression your hiring manager will have of you. It also will make it very clear what your intentions are with the email itself.

More Tips For Following Up

The more specific you can get in your follow up email subject lines, the better. So try adding details.

You can mention the exact job title or something specific you discussed in the interview, like a question they asked you, or a topic they shared information about.

You can include other details too, it depends on the situation and the person youre following up with. Dont make your subject line too long, but a bit of information is good and its okay if its around 8 words long.

Recap Of Your Qualifications

Next, provide a short recap of your experience and background. The interviewer should already be aware of these qualifications after reading your resume and meeting with you, so this section should be brief. Connect your qualifications to the position and its unique requirements to express why you are such a strong candidate for the job. For example, you can write, My social media and search engine marketing expertise would make me an excellent candidate for this marketing role.

How Long Should You Wait After An Interview To Follow Up

You should follow up five business days after your job interview if you havent heard feedback from the employer. Or, if the employer provided an expected date for feedback after the interview, follow up one business day after that date has passed.

For example, if the hiring team said that they would inform you about the next steps within three days of your job interview, wait four days, and then send a follow-up email.

The idea is this will help you avoid looking too eager and desperate.

Note that you should also send a thank-you email within 24 hours of the interview!

Dont use these follow-up templates to email the company a day after your interview employers need time to make their decision. However, companies appreciate a brief thank you before theyve even made a decision.

Follow Up Email To Promote A Single Benefit

Not every one of your follow-up emails has to be an exhaustive list of the benefits the prospect client stands to gain from your solution. Sometimes, it is okay to zero in on the most relevant value proposition.

This strategy is best after two or three follow-up emails, and there are a couple of advantages to it.

One. Keeping things shorter. As the follow-up emails increase, this keeps you from becoming a nuisance. It can be hard to shake off a negative impression once it is formed.

Two. This is the most critical advantage and it is far more compelling. Dont talk about your product or company or yourself. Just that precious benefit.

Of course, this only works if you do substantive research on your recipient or company.

Following Up On A Request

How to follow up after an interview

It is pragmatic to avoid pointing accusing fingers when you are not trying to land a client but maintain your relationship with one.

No one wants the blame, even when it is their fault. Instead of accusing your client of failing to respond to a request, repeat the ask.

Start with the why, which this sample does brilliantly by checking the temperature of the relationship. If the client hasnt responded to the request, it could be because they didnt like your performance.

Then proceed with the askno reference to the initial email. Request as though you were asking for the first time.

It will still serve the purpose of a reminder without making the recipient feel bad they forgot in the first place.

How To Follow Up By Email After An Interview:

Step 1: The Follow-Up Email Subject Line

Follow up email subject lines are important. They decide whether your email gets opened, and how fast.

Id recommend following up with whoever said theyd been in touch. Or follow up with whoever youve been talking to for scheduling, etc.

The best subject line, and the one thats going to get opened faster than anything else, is to simply reply to the latest email between the two of you.

Itll look something like this:

Re: Interview on Thursday at 10 AM

Theyll open it immediately because itll appear as part of the previous conversation. Much better than starting a whole new email for this.

Step 2: The Body Of Your Follow Up Email

Id keep it simple and straight-forward. Dont be shy or unclear. Tell them youre excited to hear back and wanted to check if theres an update or a decision yet.

Best follow-up email if you already sent a Thank You email:

Hi < NAME> ,

I wanted to follow up to see if there have been any updates regarding the < JOB TITLE> position that I had interviewed for on < DATE> . Im still very interested based on what I heard in the interview and Im excited to hear about next steps, so any information you can share on your end would be great. Thanks!

Note: This template above is best if youve already sent a Thank You email a day after your interview. Im going to give you one in this article coming up in a minute, so keep reading.

Best follow-up email if you DIDNT already send a Thank You email:

Set Yourself Apart From Other Candidates

The last paragraph should close with a summary statement on what sets you apart as a candidate. Express what you could bring to the opportunity. Invite your potential employer to ask you further questions. End with a call to action that invites the employer to contact you. For example, “If you have any questions about my qualifications, please don’t hesitate to call or email me. I look forward to hearing about the next steps.”

Sign your full name and include your phone number and email address so it’s easier for the employer to contact you.

The What Of The Follow

Each email conversation has a beginning, middle, and end.

With emails, Ive found that it helps to be a straight shooter most people dont. Remember, when it comes to emails, the cost of failure is lower than the cost of purgatory. A client or interviewer who says no but replies immediately is preferable to a client or interviewer who doesnt reply at all.

The ideal outcome, of course, is an immediate and affirmative response. That is aided by not wasting the respondents time, so for example instead of saying,

Hey, Id like to catch up for a round of golf and talk about what you do.

Youd have far better results if you instead said,

Hey, Id like to catch up for a round of golf and understand what kind of content you use to build the base for a SaaS product, because were not having the desired effect with ours.

With clear and concise communication, my contacts can help me with what I need more expeditiously.

When it comes to starting a conversation, give context. Remind them where youre from, who you are or how you met them. This creates a natural trigger and helps ease the conversation along.

Tips For Writing A Follow

  • Consider Sending an Email: If time is of the essence, send your follow-up letter via email, with your name and “thank you” in the subject line of the message. If you do send an email, be sure to do so within 24 hours of the job interview.
  • Express Your Enthusiasm: Emphasize your enthusiasm for the job. This is your final chance to tell the employer that you believe you are a good fit for the position with their organization.
  • Include Anything You Forgot: If you forgot to share an important related experience or some other valuable piece of information, this is a good place to do so. You might also clarify anything from the interview if you feel you did not make a strong first impression in the interview.
  • Proofread and Edit: Whether you send the note by mail or by email, be sure to read through the message carefully before sending it. You are still trying to make a strong impression, so a professional, well-written letter is key, and typos or a misspelled name will hurt your chances. If you choose to send an email, send a test message to yourself first to make sure the formatting holds up.

When To Follow Up After An Interview

Following up with hiring managers the same day of the interview is an excellent way to show interest and professionalism. Job candidates should send a follow-up email within 24 hours of the interview thanking the interviewers.

Studies show that 91% of employers like to receive follow-up thank you notes but 57% of candidates dont send them. Candidates should do this over email as opposed to a phone call, as 46% of recruiters and hiring managers prefer to be contacted via email. If you get no response after a week from the interview, you can follow up with another email.
