Lets go over your options and you can decide which is suitable for you in this situation.

Should You Send A Letter Or An Email

While you can send your thank you as either an email or a physical letter, email is a fast and acceptable method. If you’ve waited more than a day or two, you send it via email so it arrives quickly. You also have more control over an email’s arrival than a mailed letter. If you write your letter immediately after the interview, consider mailing a copy to the interviewer. A handwritten letter might impress the hiring manager and can help you stand out over other candidates.

The format you choose for your thank you letter also can depend on the hiring company’s culture. If it’s formal and traditional, you might send a handwritten letter. If it’s less formal and all your communications have been through email, you can send an email.

The Interviewer Told You They Have Concerns

It doesnt get more obvious than this sometimes the interview will tell you outright that they have concerns about your experience or answers you gave.

Dont panic if this happens mid-interview though. If they told you, it means theyre giving you a chance to explain or provide more info.

But if you failed to do this, and the interview ended without you addressing some of the concerns they brought it, its unlikely youre going to get a job offer, and its definitely a sign the interview ended pretty poorly.

Enter The Relevant Information In The Subject Line

The subject line briefly shows what the content of the email involves. It gives the hiring manager an idea of what to expect throughout the body of the email. Be sure the information in the subject line is clear and concise. Here are several examples for subject lines you can use in a second follow-up email:

Keep in mind that delays happen and the hiring process takes time. So the best thing for you to do while waiting for a status update is to apply for more jobs and try to get more interviews scheduled. You shouldnt stop doing this until youve signed a job offer!

No matter how well you write your follow-up email, it isnt going to get a company to move its process faster, bypass delays, skip over other candidates, etc.

This is why you should keep applying for jobs until youve signed a job offer. No exceptions. Because you never know if a company is interviewing 10 other people, considering promoting an internal candidate, or any number of other things that could cost you the job even if your interview went well.

How To Write A Follow

In your interview follow-up email, start by thanking your interviewer for their time. Be sure to highlight the ways your talents align with the role. Refer back to your notes from the interview and the job description to choose words or takeaways from your conversation that will resonate with the reader. Communicate your enthusiasm for the job by restating your interest in the position and your conviction that you are the right fit for the position.

Here is a step-by-step guide for writing a follow-up after an interview:

This depends.

Send that initial thank you email within 24 hours of the interview dont wait longer than 48 hours.

If you dont hear back, wait at least three business days before sending a follow-up.

If you have a second interview, again, follow up within 24-48 hours.

Tip: Whether youre having an interview over the phone or in person, ask about the next steps.

If you ask specific questions, youll know when to follow up:

  • When would be a good time for me to follow up?
  • How soon do you plan on making a decision?
  • May I get in touch with you next week if I havent heard anything?

Set Yourself Apart From Other Candidates

The last paragraph should close with a summary statement on what sets you apart as a candidate. Express what you could bring to the opportunity. Invite your potential employer to ask you further questions. End with a call to action that invites the employer to contact you. For example, “If you have any questions about my qualifications, please don’t hesitate to call or email me. I look forward to hearing about the next steps.”

Sign your full name and include your phone number and email address so it’s easier for the employer to contact you.

List Some Of Your Qualifications

Next on your follow-up job application email, note a few of your qualifications that make you an excellent choice for the job. For example, you could write about your certifications or experience that makes you competitive. Alternatively, speak about some of the skills you are most proficient in that relate to the position.

Pay Attention To Important Information

Try your best to pay attention to any information the hiring manager gives you regarding follow-up communication. The company may ask that their candidates don’t reach out to them until they reach out first. A hiring manager typically mentions when you can expect a response from them, so it’s important to not email before that time. If youve applied for a job, waited and had no response, it could be time to follow up. The job ad may state information about when or if applicants can expect to hear back, so take note of that. But generally if its been 1 to 2 weeks since you applied, you could make contact.

It Can Move Things Along Or Give You Closure

Youve received a good offer that you think youd be happy with, but youre still waiting to hear back from your first-choice employer. You dont want to lose the possibility of a good job when its in your hands, but you also arent ready to give up hope for a position at your dream company.

In this scenario, following up can nudge the hiring manager at the job youd really like to get and push the process forward. Or, at the very least, it can give you closure and help you focus your energy on the opportunity at hand.

Poor Hygiene And Personal Appearance

It should go without saying that you should always have good hygiene in a professional environment. No employee wants a smelly co-worker, and recruiters feel the same. According to a 2017 Recruiter Nation report, more than half of recruiters would disqualify a job candidate because of bad hygiene.

Make sure you are clean, polished-looking, and dressed appropriately for the position you are applying for. If you are unsure, err on the side of professional dress more than casual.

Thank You Email Length: How Long Should Your Message Be

Some samples above are more formal while others are more casual. Youll notice that theyre all relatively brief, though. In my experience as a recruiter, a short thank you email after the interview is best. On average, I recommend 85 to 150 words.

Its also true whether youre writing to thank a recruiter, HR person, hiring manager, or anyone else who spent time interviewing you!

Your message could go up to 200 words if youre very far along in the hiring process and have spent multiple hours interviewing with people from the company, but Id still aim to be brief and concise, rather than sending a full page.

Use your best judgement, though. You know your industry and prospective employer, so think about what type of message theyll appreciate. The advice above is simply what works best for the greatest amount of people, on average.

Final Tips For Following Up

Make sure to end each interview by asking when you can expect to hear back from them.

Itll save you some stress and youll know whether its time to follow up or not. Sometimes its normal to wait 1-2 weeks for a response after your interview. Maybe you were the first person they spoke with and they have many interviews scheduled.

You Notice Poor Body Language From The Interviewer

One of the fastest ways to start seeing whether an interview is going well is to notice the body language of the hiring manager or interviewer.

The interviewer may begin to show body language signs within the first few interview questions and answers after you begin talking.

So you may be able to notice, do they seem interested and engaged? Or do they seem distracted and low-energy?

Of course, each interviewer has their own personality and body language and youve likely never met this person before, so dont read too much into this one sign by itself.

If an interviewer seems to be displaying poor body language, it could mean this is just their personality/habits.

Whats the best way to follow up after a job interview?

  • First, write a thank you note to the hiring manager no later than a day after. Keep it short and sweet, but mention one specific thing that you learned about their organization.
  • If you dont hear back by the date they said theyd have a decision by, dont panic. Wait a week, and if its still radio silence, follow up with a short note expressing your excitement about the role.
  • Finally, if you dont get the job, you can send one last note asking for feedback. Who knows, it may teach you something and lead to better opportunities down the line.

Much of the job application process involves waiting. You check job postings and wait for new opportunities that match your skills and interests. You put together a cover letter and a resume, send them off, and wait to hear about a possible interview. If you land an interview, you prepare, give it your best shot, and then you wait for a response.

The closer you get to an actual offer, the more anxious you get to hear more. That anxiety creates anticipation and energy. When you are energized, you want to act.

But dont. Wait. You need to be smart about how and when you follow up at this stage.

There are, however, a few exceptions to this waiting rule. More specifically, there are four times when it may actually be in your best interest to shoot the hiring manager a note.

Some of this will be review if you read everything above, but I want to make sure you dont do anything that could cost you the job!

First mistake: waiting too long to send it. You really want to send this within 24 hours after your interview.

Next, dont ever copy and paste the same exact email to send to multiple people. They will compare and it looks sloppy/lazy. It takes a lot away from the impact your thank you email will have.

Dont ever put multiple people in the To field of the email either. You should be sending one email to one recipient at a time.

Otherwise, it looks lazy/rushed.

And another big mistake: Thinking you dont need to send an interview thank you email because the person you met wasnt the official hiring manager.

Id recommend sending one any time you had a face-to-face interview with someone.

Everyones opinion can count and the hiring manager can ask everyone what they thought of you. Dont pick and choose who deserves a thank you email. Send it to everyone youve met face to face and play it safe!

One more minor mistake: Not asking for business cards after you meet each person during a day of interviewing.

Getting business cards from each person you met with during the interview is the easiest way to keep track of names and email addresses so you can thank them later via email.

You want to invite the hiring manager or employer to contact you before sending your follow up email after a face-to-face or phone interview.
