Your Thank You: To Hand Write Or To Email

This is the first, and truthfully, the most difficult question to answer, even for managers. Some feel that handwritten notes have gone the way of the horse and carriage while others feel that its an essential way to prove youre thoughtful and dedicated. While any thank you note is a positive gesture, a handwritten note almost always will put you one step ahead of the competition. But thats not to say a thank you email doesnt do the trick, too, especially in a tight hiring schedule when a mailed note may arrive too late. We recommend a hybrid method: do both.

Send an email within 24 hours . Most likely, your interviewer is quite busy and will appreciate reading a quick email. Aim to drop a formal note into the mail the same day as well. With that being said, if you have bad penmanship: Just. Send. It. In. An. Email.

Tips For Writing A Job Rejection Email

Hiring managers can use these tips to write more empathetic rejection emails:

  • Send them right away. As soon as you make your hiring decision, send out your rejection emails. This gives candidates the opportunity to focus their attention on other job prospects sooner.

  • Proofread your writing. While this is a low-stakes email to send, you still are representing your company. Ensuring you’re using proper language and grammar shows candidates that you’re a professional organization.

  • Consider other roles. If you find you really like a candidate during the interview but they aren’t right for your particular role, think about what other job openings your company might have. You may be able to offer them an interview for a different role that better aligns with their skills and experiences.

  • Be responsive to candidates. In order to grow as professionals, some candidates might ask for additional feedback. Responding to such messages with constructive feedback can help a candidate develop their skill set and see your company favourably.

The fact that you got the interview shows that you made it further than most other applicants. For any job position especially a coveted one with a good company there are usually dozens, hundreds, or even thousands of applicants.

Most applications and resumes get thrown out pretty quickly. Thats the harsh reality when a job is in demand, recruiters just cant give everyone a chance.

Nevertheless, youre probably not the only applicant who they are interviewing, either. If it was a phone interview or an interview over Zoom or Skype, the likelihood that there are other interviewees goes up.

This example above is a little longer and more formal. You could send this as a handwritten thank you letter after the interview, or as an email.

Note that at the end of the third paragraph, you could also add details about WHY you feel confident youd succeed in this role. Doing this will make your thank you email more convincing to hiring managers.

Try to remind them of something you shared in the interview, like a piece of past experience, or a skill you have, that will prove to them youll be able to come in and be successful in their role.

Approach To Writing The Follow

You can, of course, use the above template/example for your thank you after interview email, or you can write one from scratch. If you plan to write one from scratch, this section will serve as a helpful guide.

Steps to writing your own email:

  • Confirm the name, title, and email address of the person.
  • Write an opening sentence thanking them for their time and saying that you enjoyed meeting them.
  • Refer to any notes you took in the interview and highlight the things you really liked.
  • Go to the companys website and review their mission, vision, values, and/or purpose in their about us section.
  • Then you can note in your email a couple of things you particularly like about their culture and mission.
  • Write a closing sentence thanking them again and offering to answer any follow-up questions they may have.
  • Poor Hygiene And Personal Appearance

    It should go without saying that you should always have good hygiene in a professional environment. No employee wants a smelly co-worker, and recruiters feel the same. According to a 2017 Recruiter Nation report, more than half of recruiters would disqualify a job candidate because of bad hygiene.

    Make sure you are clean, polished-looking, and dressed appropriately for the position you are applying for. If you are unsure, err on the side of professional dress more than casual.

    Following Up When You Haven’t Heard Back

    The key to a great follow up is being politely persistent without being overbearing.

    First, check back to see if the hiring team gave you a timeline. If the recruiter said, we’ll get back to you in a couple of weeks, don’t send a follow up one week later. Respect the timeline, but don’t be afraid to follow up right when it ends.

    Set a reminder in your phone or calendar for two weeks!

    If you didn’t get a clear timeline, my rule of thumb is to follow up every five business days.

    Make sure to end each interview by asking when you can expect to hear back from them.

    Itll save you some stress and youll know whether its time to follow up or not. Sometimes its normal to wait 1-2 weeks for a response after your interview. Maybe you were the first person they spoke with and they have many interviews scheduled.

    Reiterating Interest In The Job And Company And What You Bring To The Table

    After thanking the interviewer, express your excitement for learning about the role and company. Reiterate your interest in the job. An interview is a time for the company to see if you are a good fit for the role, but you should also be attentive to learning if you think the company and role is a good fit for you. Not sending a thank you email could be interpreted as a lack of interest in the role. Its also important to align yourself with the companys mission, values, and culture.
