Your Thank You: To Hand Write Or To Email
This is the first, and truthfully, the most difficult question to answer, even for managers. Some feel that handwritten notes have gone the way of the horse and carriage while others feel that its an essential way to prove youre thoughtful and dedicated. While any thank you note is a positive gesture, a handwritten note almost always will put you one step ahead of the competition. But thats not to say a thank you email doesnt do the trick, too, especially in a tight hiring schedule when a mailed note may arrive too late. We recommend a hybrid method: do both.
Send an email within 24 hours . Most likely, your interviewer is quite busy and will appreciate reading a quick email. Aim to drop a formal note into the mail the same day as well. With that being said, if you have bad penmanship: Just. Send. It. In. An. Email.
Tips For Writing A Job Rejection Email
Hiring managers can use these tips to write more empathetic rejection emails:
Send them right away. As soon as you make your hiring decision, send out your rejection emails. This gives candidates the opportunity to focus their attention on other job prospects sooner.
Proofread your writing. While this is a low-stakes email to send, you still are representing your company. Ensuring you’re using proper language and grammar shows candidates that you’re a professional organization.
Consider other roles. If you find you really like a candidate during the interview but they aren’t right for your particular role, think about what other job openings your company might have. You may be able to offer them an interview for a different role that better aligns with their skills and experiences.
Be responsive to candidates. In order to grow as professionals, some candidates might ask for additional feedback. Responding to such messages with constructive feedback can help a candidate develop their skill set and see your company favourably.

It Helps You Stand Out
The fact that you got the interview shows that you made it further than most other applicants. For any job position especially a coveted one with a good company there are usually dozens, hundreds, or even thousands of applicants.
Most applications and resumes get thrown out pretty quickly. Thats the harsh reality when a job is in demand, recruiters just cant give everyone a chance.
Nevertheless, youre probably not the only applicant who they are interviewing, either. If it was a phone interview or an interview over Zoom or Skype, the likelihood that there are other interviewees goes up.
After all, its not that hard to schedule phone or Zoom interviews back to back.
A follow-up email gives you a chance to stand out and make yourself look better.
After all, you can never go wrong with a Thank You note!

Steps to writing your own email:
Poor Hygiene And Personal Appearance
It should go without saying that you should always have good hygiene in a professional environment. No employee wants a smelly co-worker, and recruiters feel the same. According to a 2017 Recruiter Nation report, more than half of recruiters would disqualify a job candidate because of bad hygiene.
Make sure you are clean, polished-looking, and dressed appropriately for the position you are applying for. If you are unsure, err on the side of professional dress more than casual.

What Is A Thank
A subject line is the information you type into the subject field of a message of thanks before emailing the hiring agent who interviewed you for a job. While the subject line only includes a few words, developing it is a key step for interviewees due to several reasons, including:
- The hiring agent sees it first. The subject line is the first section that hiring managers see of your thank-you email, and they can see it before opening your message. If you made a good impression in your interview, seeing the subject line can be an effective reminder that communicates your professionalism and enthusiasm to the recruiter even if he or she is too busy to read your message immediately.
- It can help you stand out from the crowd. Interviewers often have full inboxes with messages from job seekers, company emails, and messages from mailing lists. Consequently, its easy for a recruiter to miss an email in the inbox clutter. A great subject line can differentiate your thank-you email from other messages and motivate the recipient to read it quickly.
- It can help you to build a relationship. An engaging subject line in a timely thank-you email can build rapport with the interviewer by capturing his or her attention, starting a conversation, and further solidifying the good impression you made at the interview.
How To Write A Post
Writing a short, professional thank-you email after an interview can have a strong impact on the success of any job search. It’s a small note that takes only minutes to write. And can separate you from other candidates, encourage progressing to the next steps of the process, and build a professional network.

Following Up When You Haven’t Heard Back
The key to a great follow up is being politely persistent without being overbearing.
First, check back to see if the hiring team gave you a timeline. If the recruiter said, we’ll get back to you in a couple of weeks, don’t send a follow up one week later. Respect the timeline, but don’t be afraid to follow up right when it ends.
Set a reminder in your phone or calendar for two weeks!
If you didn’t get a clear timeline, my rule of thumb is to follow up every five business days.
Austin’s Five Day Follow Up
My rule of thumb is to follow up every 5 business days when you haven’t heard back and haven’t been given a timeline.
Here’s a quick email template you can use:
I hope you are having a great week!
I wanted to reach out and express my continued interest for the role. I know this is a busy time and I completely understand that there is a lot going into this decision.
If there’s anything else I can do or provide that would be helpful, please let me know!
Final Tips For Following Up
Make sure to end each interview by asking when you can expect to hear back from them.
Itll save you some stress and youll know whether its time to follow up or not. Sometimes its normal to wait 1-2 weeks for a response after your interview. Maybe you were the first person they spoke with and they have many interviews scheduled.

Reiterating Interest In The Job And Company And What You Bring To The Table
After thanking the interviewer, express your excitement for learning about the role and company. Reiterate your interest in the job. An interview is a time for the company to see if you are a good fit for the role, but you should also be attentive to learning if you think the company and role is a good fit for you. Not sending a thank you email could be interpreted as a lack of interest in the role. Its also important to align yourself with the companys mission, values, and culture.
It was a pleasure learning more about the role and company. I love the companys dedication to uplifting the homeless community in Los Angeles, a mission that is close to my heart as I volunteer at the homeless shelter twice a week.
Emphasize what you bring to the table. This is crucial. Now that you have interviewed and have additional context on the role and what they are seeking, you can specifically address how you are a great fit for the role. If they are struggling with sales, discuss your experience with winning sales. If the Marketing Director is struggling to keep up with her workload because of lack of support, discuss your experience with assisting high-level managers and executives.
Let Them Know You’ll Keep Their Resume On File
When writing your job rejection email, let the candidate know you can keep their resume on file. This shows that you value their work and may consider them for future opportunities. Perhaps this candidate may not be the best fit for the specific role you are currently hiring for, but in the future, they might be a great choice.

Who To Write A Thank
In general, itâs a good idea to share a thank-you note with everybody you interviewed with individually, from recruiter to hiring manager to potential colleague. If you donât already have their contact info, request it from your main point of contact throughout the hiring process , explaining that youâd like to thank them for taking the time to speak with you. If you had a panel interview, you might want to save your time by sending one email to the main interviewer with everybody else CCâd.
If you spoke to many different people â say, you presented to a room of 10 or more â itâs probably not practical, or a good use of your time, to include each and every one of them. In this case, you can follow the same procedure you would in a panel interview: Send one note to the main interviewer with several of the key players CCâd.
