Keep Your Thank You Note Formal

How to Write a Thank You Email After the Interview & WOW Them!

The best strategy is to use formal business language and proofread very carefully! Remember, this message shows employers the quality of your work and is an example of your work..

Demonstrate the high quality of your work in your email. Avoid using informal language, typos, and strange formatting. Avoid the use of emoticons and no texting language .

What If The Employer Says They Dont Have Any Feedback Yet

In some cases, the hiring manager or recruiter will reply to your follow-up email and say theyre still in the middle of the hiring process and dont have information about the next steps yet.

At times, theyll be specific about what theyre working on behind the scenes but often, they wont tell you the specifics.

Either way, I recommend responding with a brief email to keep the conversation alive and ensure that you stay in touch. By using the following email template, you give yourself an opening to follow up again if needed, too.

When To Send A Follow

There are typically three types of after interview emails you could send after an interview. A thank-you email to the interviewer right after the interview, a follow-up if you havent heard anything back, and an email to stay in touch in the future.

In most cases, you will only have to send one after interview email, one that thanks the interviewer and expresses your interest for the position. The sooner the better when it comes to sending the thank-you email. Try for the same or next day, and do your best to send it no later than 24 hours after the interview.

If for some reason you havent heard anything from the employer since your interview, you can send the second follow-up email to check-in with them. If you dont hear back and have a strong feeling you didnt get the job, you can send an email saying to stay in touch with the hiring manager. This is a great way to expand your network and show the employer you are still interested. We will go through each type of after interview email with examples below.

Thank you for taking the time to interview me < yesterday/Friday/etc> . I enjoyed our conversation about < specific topic you discussed> and it was great learning about the < Job Title> position overall.

It sounds like an exciting opportunity and a role I could succeed and excel in. Im looking forward to hearing any updates you can share, and dont hesitate to contact me if you have questions or concerns in the meantime.

This is a short, casual email thats best for modern industries like tech, e-commerce, digital marketing, etc.

This type of short message also makes an ideal thank you email to a recruiter or HR person after a phone interview or other first-round interview. At that stage, you dont need to be sending a lot of detail in your thank you letter you simply want to give thanks and reaffirm your interest.

And modern companies dont want to see a ten-paragraph, formal thank you letter that takes ten minutes to read. In fact, it might make them want to hire you less because theyll doubt whether youre a fit for their company culture. Thats why I recommend keeping your message short and genuine, like the sample above.

Even if its a second- or third-round interview, this type of very short, concise thank-you email can still be effective. Heres an example of the type of message Id personally send if I were job hunting right now:

Refer back to your notes from the interview and the job description to choose words or takeaways from your conversation that will resonate with the reader. Communicate your enthusiasm for the job by restating your interest in the position and your conviction that you are the right fit for the position.

Past Candidate Interview Invitation Email

When recruiting for an open role, tap into your talent community to re-engage qualified candidates who stood out to you during past interviews. Similar to employee referrals, you have a relationship with these candidates and must include enough personal details to get their attention.

Before reaching out to a past candidate, consult your candidate persona thoroughly to verify they would be a good fit. Attach the job description so they can review the role themselves. Getting a candidate excited about a new opportunity only to pass on their candidacy again is a bad experience and a poor reflection of your external employer brand.

Use the following template to invite a past candidate to interview over email.

Subject Line: : New Opportunity

If you want to create a strong professional brand and leave a lasting impression with employers, you need to master the post- interview thank you email.

As soon as you leave a job interview, its best to follow up with a sincere, professional, and engaged thank you email. Make sure they know you appreciate their time and attention in meeting with you!

Before we dig into the mechanics of a great interview thank you email, though, know this: sending an email is not a replacement for sending a handwritten thank you note to your interviewer. I always advise folks to do both after an in-person interview. But it will take a day or two for your beautiful thank you card to arrive on your interviewers doorstep. Email has the advantage of delivering an instant dose of gratitude to the people who have the power to give you the job of your dreams.

When writing your post-interview thank you email, keep these three things in mind:

  • Keep it short: You dont need to compose a long letter. Busy professionals already have too much email to read. So keep it short and sweet.
  • Keep it professional: Focus on the topics you previously discussed with the interviewer. This isnt a time to go into personal details.
  • To help you out, I built three email templates for you to follow. Use these templates as a guide to build your own personal rockstar thank you email to send after job interviews!

Keep It Short And Mind Your Structure

In the same vein, dont suddenly write a novel about how much you love the company or the person you talked to. You may have many things to tell this recruiter or hiring manager, but try to stick to one main point, question, or fun fact.

Personally, if Im reading a thank-you email longer than five sentences, Ive probably started to wonder if the time to read it was worth my investment. Knowing how to write a thank you email after an interview is a valuable skill. Trust me.

Use your follow-up email as an opportunity to express your interest and highlight what makes you the best candidate for the role. Mention relevant skills you discussed in the interview and how you look forward to using them. It’s important to remain friendly and humble, but be confident in your abilities and persuasive about why they should choose you to fill the vacancy. Reminding the hiring manager of your value and abilities might help support your success. Here’s an example:

“I believe my five years of bartending experience and commitment to excellent customer service make me a good fit for this position.”

The Hiring Manager Might Still Be Conducting Interviews

The hiring manager could have other candidates scheduled for interviews. Ideally, they reach out to you soon after your meeting. However, even if you did a great job and they’re interested in you as a new hire, they might have a list of several other candidates to finish interviewing before they can send an offer. Sometimes, these processes are established in company protocols and remain consistent throughout the hiring process.

The hiring manager may also interview for several job vacancies, including the role you applied for and others. They may be too busy to respond to prospects as quickly as they normally would. Hiring managers and other members of the human resources department are responsible for reviewing job applications, arranging interviews and screening prospects. This is one of the most common reasons you have yet to receive a response yet.

    Ms. Frizzle,

Its been weeks since we spoke about the opening for your companys opening for a . At the end of our meeting, you mentioned that your company would respond with a decision soon.

Because I have not heard back from your company yet, I wanted to check in with regards to my status in the hiring process. If the position is still available, I would like to reiterate my interest in working with your company.

If your company is seeking a performance-oriented individual to fill this role, I feel that my experience and skills will be a valuable contribution to the department.
