Candidate follow-up emails allow you to establish an open channel of communication with your candidates. It lets them know that your company appreciates their time.
Job interviews are pretty stressful to many, so follow-up emails, even just to let them know you appreciated their time, can go a long way. They allow you to begin on the right foot with whoever you end up hiring and help you leave doors open in the future for the candidates that dont make it.
According to Glassdoor, 74 percent of candidates read employee reviews from companies before giving their opinion. Candidate follow-up emails help you capture good talent from the beginning, attracting talent instead of hunting for it.
Plus, since over 50 percent of companies expect the candidate to follow up after an interview, taking a proactive approach can help you land better talent.
In essence, follow-up emails help you and the candidate communicate openly, and establish a professional relationship.
Mistakes To Avoid When Sending Post Interview Thank You Emails
Now you know the basics of how to send a great thank you email after the interview. Lets cover a few mistakes to avoid now, though.
Some of this will be review if you read everything above, but I want to make sure you dont do anything that could cost you the job!
First mistake: waiting too long to send it. You really want to send this within 24 hours after your interview.
Next, dont ever copy and paste the same exact email to send to multiple people. They will compare and it looks sloppy/lazy. It takes a lot away from the impact your thank you email will have.
Dont ever put multiple people in the To field of the email either. You should be sending one email to one recipient at a time.
Otherwise, it looks lazy/rushed.
And another big mistake: Thinking you dont need to send an interview thank you email because the person you met wasnt the official hiring manager.
Id recommend sending one any time you had a face-to-face interview with someone.
Everyones opinion can count and the hiring manager can ask everyone what they thought of you. Dont pick and choose who deserves a thank you email. Send it to everyone youve met face to face and play it safe!
One more minor mistake: Not asking for business cards after you meet each person during a day of interviewing.
Getting business cards from each person you met with during the interview is the easiest way to keep track of names and email addresses so you can thank them later via email.

The Benefits Of Sending A Thank
Sending a thank-you email has a couple of important advantages over the old-fashioned, paper-and-ink variety of thank-you letter.
With an email, for example, you can do more than remind your prospective employer of your qualities and skills: You can actually show them by including a link to your online portfolio, , or professional social networking profiles.
You’ll also have the opportunity to mention anything you wish you had said during the interview, but didn’t get the chance to discuss.
Sending an email immediately after or within 24 hours of a job interview is crucial if the hiring manager will be making a quick decision.

What To Include In Your Follow
It’s important to be disciplined when sending your follow-up email. Follow this guide for a simple, professional message that gives you the best chance of receiving a response.
There is no need to spend hours deliberating over a snappy subject line. The most effective approach that is likely to get your message opened quickly, is to respond to the most recent email between you and the interviewer or HR manager. If this isn’t possible simply include your name, the date and time of the interview.
As a guide, follow this format:
John Smith – Re: Interview on Tuesday at 4pm
If you’re on first-name terms with the person you’re contacting – you may have exchanged multiple emails and spoken face to face by this point, then it is fine to open your follow-up email by using their first name. If not, or if you’re unsure, stick with their title and surname .
Keep it simple. Presumably, the main reason you’re emailing is for a progress update – the interviewer will know this before they’ve even opened your message. Be polite but direct:
- Thank them for their time in the interview.
- Explain that you’re following up on your interview – remember to be specific about the job, mentioning the job title and interview date.
- Restate your interest in the position and say you’re keen to hear about next steps.
- Ask for a progress update, explaining that any information they can provide would be greatly appreciated.
Take Your Thank You Email To The Next Level
While the template above is all you need, if you really want to blow a hiring manager out of the water, add in another few lines before I look forward to… with some ideas you have on how you could add value. Think: a quick mock-up of something you discussed in the interview if youre in a creative role, taglines if youre in branding, or some slides or possible partners if youre in business development or sales.

Pay Attention To Important Information
Try your best to pay attention to any information the hiring manager gives you regarding follow-up communication. The company may ask that their candidates don’t reach out to them until they reach out first. A hiring manager typically mentions when you can expect a response from them, so it’s important to not email before that time. For example, if they mention it may be a few weeks before contacting you, it’s better to avoid sending a second follow-up email before those few weeks.

Be Patient After This
If you still havent gotten a response at that point, Id be patient. Theres a chance that an important person in the hiring process is on vacation, or that the person youve been emailing is extremely busy, sick, etc.
So I recommend waiting a minimum of 48-72 hours at this point, and in some cases, a full week is better to wait.
Sending another follow-up sooner than this wont help you get the job. So try to focus on other tasks in your job search while waiting to ask for an update again.
Once you do feel its time to take things further, heres who to email and how to write the email
Pick the next logical person in the company to email.
For example, if you were emailing an HR person before, try the hiring manager or somebody in the department youve been talking to in your job interviews. Or vice versa if youve emailed the hiring manager multiple times with no response, then try checking in with HR, a recruiter, or another relevant contact within the company.
Since this is a brand-new email thread, youll need to write a subject line. I recommend keeping it simple and using one of the example subject lines that I shared earlier in this article.

If you havent heard back after checking in, or youve learned that you didnt get the job, you can still attempt to stay in touch with the hiring manager or recruiter. The goal of doing this is to create a professional relationship with someone who can help you grow professionally and stay on their radar in case any other jobs open up.
Even though this email probably wont change any final hiring decisions, it can reinforce your interest in the company and show the hiring manager that there may be a future role that you could successfully fill.
