Highlighting Portions Of The Interview Unique To You
Its always great to create a conversation during an interview, instead of having it be more of a Q& A. Beyond your qualifications, interviewers are gauging if you are a fit for the company culture. If you are able to have an engaging conversation with them outside of interview questions, it shows you are able to get along with people on the team quickly. Whenever you engage in a conversation, it helps you stand out from the pool of candidates. This one sentence is optional but highly recommended. Itll highlight any topic that was discussed in the interview unique to you. Maybe the two of you connected over the same hometown, college, hobby, volunteering service, etc. This is a nice thing to bring up in your follow up email to remind the interviewer of the pleasant time they had speaking with you. Lastly, this sentence could also be blended with the portion on reiterating your interest in the company.
I also enjoyed connecting over our time volunteering with the Peace Corps, its been a while since I met someone that also served in Ghana.
It was such a nice surprise to meet a fellow Trojan.
Its great to meet someone that loves plants as much as I do!

A Great Thank You Note Starts During The Interview
In order to maximize the value we deliver with our thank you note, we need to gather as much information as we possibly can during the interview.
These details come from the small talk you make before the interview starts, the conversations sparked by your answers or your resume, and the questions you ask your interviewer.
This is more of an art than a science and truly a case of practice makes perfect. Here are some pointers to get you started:
- There is always a few minutes of small talk before the interview starts use that to spark up a conversation. For example, if it’s a Monday or Tuesday, ask how their weekend went. If it’s Wednesday Friday, ask if they have plans for the upcoming weekend.
- If they begin talking, ask follow up questions. The longer you can get them to continue, the more information you get and the higher the odds of them creating a positive association with you in their brain.
- At the end of the interview, have questions prepared . I always end an interview by asking them about their personal life outside of work.
The more personal information you get during the interview, the more ammo you have to include in your thank you note.
Remember the response I quoted in the opening paragraph of this post?
That VP had asked me about a book I read recently that made an impact on me. As soon as I answered, I asked her the same question. I hadn’t read the book she mentioned, but I was very familiar with the author .

Subject: Appreciated Your Time Today
Thanks for meeting with me today. I really appreciate you taking time out of your busy schedule to chat with me about the position.

I Need To Hear Back From You By
Hopefully, you and the recruiter discussed the hiring timeline during the interview. If you didnt, you might think that the thank-you note is a perfect time to ask when they will make a decision. But its not. It only comes across as rude and desperate. In this case, the best you can do is say, I look forward to hearing from you soon, and wait it out.
If you do have an offer from another company on the table, its polite to let the other employer know and ask when they might have a decision on their end so you can weigh your options. The operative word there is askyou dont want to dole out rude demands.

Sample Interview Thank You Email/note #:
Hello < Interviewers Name> ,
Thank you for taking the time to interview me < yesterday/Friday/etc> . I enjoyed our conversation about < specific topic you discussed> and it was great learning about the < Job Title> position overall.
It sounds like an exciting opportunity and a role I could succeed and excel in. Im looking forward to hearing any updates you can share, and dont hesitate to contact me if you have questions or concerns in the meantime.
< Your First and Last Name>
This is a short, casual email thats best for modern industries like tech, e-commerce, digital marketing, etc.
This type of short message also makes an ideal thank you email to a recruiter or HR person after a phone interview or other first-round interview. At that stage, you dont need to be sending a lot of detail in your thank you letter you simply want to give thanks and reaffirm your interest.
And modern companies dont want to see a ten-paragraph, formal thank you letter that takes ten minutes to read. In fact, it might make them want to hire you less because theyll doubt whether youre a fit for their company culture. Thats why I recommend keeping your message short and genuine, like the sample above.
Even if its a second- or third-round interview, this type of very short, concise thank-you email can still be effective. Heres an example of the type of message Id personally send if I were job hunting right now:
Your Thank You Letter Is A Sales Letter
You must look at your thank you note as a marketing/sales opportunity. This may be your last chance to influence the interviewer and convince him to bring you back for a second interview or even extend a job offer.
Heres how: After expressing your thanks for the interviewers time and interest , concisely reiterate why you want the job, why you think you are the best choice for the job, what you can give to the company that other applicants cant, and any other selling points for this particular position.
If you were paying attention in the job interview, youll know which details will be most compelling for your interviewer.
Use the thank you note to add important details that you forgot to mention or to reinforce the aspects of your background that seemed to impress the interviewer. If you are one of a crowd of candidates, dont assume that the interviewer will remember all of the details. It never hurts to reiterate your strongest points.
Just remember to keep the letter short and to the point. If you try to include too much detail, you will lessen the impact.
Also, dont forget to communicate enthusiasm and interest in the job. This is especially important if you feel you were stiff in the interview.
Show interest, but not desperation. Its okay to say that you would love to have the opportunity to work for a great firm like Company X or take on such an interesting role.

Customize Your Job Interview Thank You Notes
When writing your thank you note, its important to keep your reader in mind her personality, her level within the organization, and her top priorities for the job in question.
This reader focus will serve you well in choosing both format and content for your thank you. While an email thank you note is standard these days , there may be times when a handwritten note or card may help differentiate you from other candidates. Some candidates opt to send both in these situations. Think about what seems most appropriate for your interviewer.
You also must customize the tone of your letter for each interviewer. You dont want to send a stiff, formal thank you letter to a 28-year-old techie manager.
You also dont want to be too casual or familiar if your interviewer was a 60-year-old CEO in a three-piece suit.
Every thank you note should begin with a sincere expression of appreciation.
For example:Thank you for taking the time to meet with me yesterday.

Sincere Thank You Letter After Interview
If youve developed a personal relationship with your interviewer, itll likely be awkward if you send them a generic or formal follow up after your interview. Instead, opt for a sincere letter that allows you to express your professional appreciation for the opportunity to interview. Make sure you thank your interviewer for their time and attention to your application.
Its suitable to send a sincere follow up email after your interview in situations where:
- Youre honored to be considered for the position and hold the company youve interviewed with in high esteem.
- The hiring manager made an exception for your application such as allowing you to submit your resume and cover letter via email after the position closed.
- The hiring manager made a special effort to accommodate your interview schedule.
- You would like to reference the personal connection you made with the hiring manager during your interview in an attempt to strengthen your application.

Before You Send Proofread Everything
Email templates are only as good as the effort you put into filling them out and proofreading them.
Go over every detail and make sure it actually makes sense for your situation. If not, sending that thank you email or letter will do more harm than good.
Example: In the third sample email earlier in this article, it says, thank you for taking the time to meet with me.
If you had a phone interview, you should say, thank you for taking the time to talk on the phone with me.
Otherwise, its going to sound a bit odd, and they might suspect you just cut & pasted from a template. Not good!
So be careful, take your time with these sample emails, and make sure every single word makes sense.

When Is The Best Time To Send Your Thank You
This is a question I get a lot.
When it comes to following up with hiring managers, posting articles on social media, or sending breaking news to a contact, timing is everything and there is a science behind it.
When it comes to thank you notes, the golden rule is simple:
The Best Time To Send Your Thank You Note
Send your thank you as quickly as you can while still allowing yourself enough time to craft a quality email.
If you’re a numbers person, shoot for 30 minutes 2 hours after the interview, but don’t pull your hair out if you can’t get it out until later in the day. Life gets in the way and it’s far more important to send it later then not send it at all.
