In some cases, the hiring manager or recruiter will reply to your follow-up email and say theyre still in the middle of the hiring process and dont have information about the next steps yet.

At times, theyll be specific about what theyre working on behind the scenes but often, they wont tell you the specifics.

Either way, I recommend responding with a brief email to keep the conversation alive and ensure that you stay in touch. By using the following email template, you give yourself an opening to follow up again if needed, too.

However, if youre in a more traditional or formal industry, or if you want to send a thank you note in the mail rather than email, one of the next two thank you note examples will be better.

Send Separate Emails To Each Interviewer

If youre interviewed by several people, ask for their business cards at the conclusion of the interview so you’ll have the contact information for each thank-you email.

Then, send email messages to each person who interviewed you. Your messages should vary somewhat so that the recipients can’t compare notes later and feel as if they just got a chain email.

Approach To Writing The Follow

You can, of course, use the above template/example for your thank you after interview email, or you can write one from scratch. If you plan to write one from scratch, this section will serve as a helpful guide.

Steps to writing your own email:

  • Confirm the name, title, and email address of the person.
  • Write an opening sentence thanking them for their time and saying that you enjoyed meeting them.
  • Refer to any notes you took in the interview and highlight the things you really liked.
  • Go to the companys website and review their mission, vision, values, and/or purpose in their about us section.
  • Then you can note in your email a couple of things you particularly like about their culture and mission.
  • Write a closing sentence thanking them again and offering to answer any follow-up questions they may have.

    Before you leave the second interview, don’t be afraid to ask what the timeline is for making a decision, so you can know what to expect. Then, in your email, you can address the timeline and say you look forward to hearing back from them after they make their decision.

    If you don’t hear back by the time you were told a decision will be made, don’t be reluctant to call or email asking about the hiring status. It will make you look proactive, and if it’s a no, you can move on with your job search. Just remember not to call more than once or twice. It can appear annoying if you don’t hear back, just continue your search.

    In many cases, especially in later-stage interviews, you’ll interact with multiple people over the course of the day. You should take the time to write a quick followup email to each of them, taking care to differentiate each note slightly – you can be sure that they’ll be comparing notes, and they’ll notice if you send the same note to all of them.

    If you don’t have the full names or contact information for these other individuals, try to do a bit of digging on or the company website. If this doesn’t yield what you’re looking for, it’s acceptable to include a line in your note to your primary interviewer or your main point of contact with the business stating that it was a pleasure to meet with the whole team, and you hope that they’ll pass on your thanks.
