If youre looking for how to write a professional thank you email or note after your interview, youve come to the right place.

Im going to share exactly what to do when thanking the employer, based on my experience as a recruiter. And Ill give you plenty of sample thank you emails that you can use for inspiration, too!

Because the truth is: sending a follow-up message to thank the interviewer is a great idea, but if you dont send the right type of message, it can do more harm than good. So what you say matters!

    Lets get started

Reiterate Points Made In The Interview

    Thank You Letter After Interview

Although you want your thank you note to be decently short, try to summarize what was talked about in the interview to remind them of your conversation. Recruiters often encounter multiple candidates and professionals are constantly engaging with new people. It is important to customize it as much as you can. You can do so by bringing up special topics that were unique to your conversation, which can strengthen the connection you made with the interviewer. This will also help you stand out from the crowd or applicant pool because it reminds the interviewer of the distinct conversation they had with you. Also, this will not only show that you were paying attention during your time together but also confirms that you understood important points.

Reminder! Proofreading ensures your note is completely free of errors. A well-written Thank You note shows attention to detail and shows off your communication skills!

    You Rambled On And On

Arent nerves a magnificent thing? Yes, when they help bring out your A-game. Not so much when they give you a case of diarrhea of the mouth in the middle of an interview.

If you left the interview realizing that you didnt let the interviewer get a word in edgewise, you may want to address it in the thank you note. Yes, this will take a bit of finesse, but done well, you could salvage the operation. Remember, EVERYONE gets nervous when theyre excited or the heat is on, even that interviewer.

She may have empathy for you if you fess up strategically.

Sample Interview Thank You Email/note #:

    Hello < Interviewers Name> ,

Thank you for taking the time to interview me < yesterday/Friday/etc> . I enjoyed our conversation about < specific topic you discussed> and it was great learning about the < Job Title> position overall.

It sounds like an exciting opportunity and a role I could succeed and excel in. Im looking forward to hearing any updates you can share, and dont hesitate to contact me if you have questions or concerns in the meantime.

    Best regards,

< Your First and Last Name>

This is a short, casual email thats best for modern industries like tech, e-commerce, digital marketing, etc.

This type of short message also makes an ideal thank you email to a recruiter or HR person after a phone interview or other first-round interview. At that stage, you dont need to be sending a lot of detail in your thank you letter you simply want to give thanks and reaffirm your interest.

And modern companies dont want to see a ten-paragraph, formal thank you letter that takes ten minutes to read. In fact, it might make them want to hire you less because theyll doubt whether youre a fit for their company culture. Thats why I recommend keeping your message short and genuine, like the sample above.

Even if its a second- or third-round interview, this type of very short, concise thank-you email can still be effective. Heres an example of the type of message Id personally send if I were job hunting right now:

I really enjoyed interviewing with you last Thursday, and I wanted to touch base. Do you need anything further from me, in order to help the process? I hope you are well and am wishing you a great day.

    Kind regards,

    < Your full name> < Your contact telephone number>

You may have already sent your thank-you note but didnt receive anything in return. If this is the case, then you might want to touch base with the person a week later.

    Include A Call To Action

How to Write a Thank You Letter After a Job Interview

Finish the body of your email with a concluding paragraph that features a call to action. You can use one of your meeting talking points as part of your call to action, if relevant. For example, if you discussed professional development books in your interview, consider a call to action like, “I look forward to reading the book you suggested and discussing it once I’ve finished.” Alternatively, you can use a classic and general call to action like, “I look forward to speaking with you again soon,” instead.

Your Thank You: To Hand Write Or To Email

This is the first, and truthfully, the most difficult question to answer, even for managers. Some feel that handwritten notes have gone the way of the horse and carriage while others feel that its an essential way to prove youre thoughtful and dedicated. While any thank you note is a positive gesture, a handwritten note almost always will put you one step ahead of the competition. But thats not to say a thank you email doesnt do the trick, too, especially in a tight hiring schedule when a mailed note may arrive too late. We recommend a hybrid method: do both.

Send an email within 24 hours . Most likely, your interviewer is quite busy and will appreciate reading a quick email. Aim to drop a formal note into the mail the same day as well. With that being said, if you have bad penmanship: Just. Send. It. In. An. Email.
