Pick A Great Subject Line

The subject line is the topic or main agenda of the email, and it is usually the first thing that someone sees. Your first task is to select a great subject line that can capture your interviewer’s attention. Make sure that it is short and conveys the main idea of the email. Here are a few examples:

  • I appreciate your time
  • Great speaking with you today
  • Follow up regarding
  • Thank you for your time and consideration

How Soon To Send A Thank You Email After An Interview

Aim to send your post-interview thank you email the day after your job interview, between 12:00 pm and 3:00 pm. If your interview was on a Friday, then send your email the same day, in the evening instead of waiting a day. .

Always make sure the email is sent within 24 hours of your interview so that your conversation is still fresh in the interviewers mind.

If you decide to send your thank you note as a letter in the mail, you should still send it within one or two business days of your job interview. They wont receive it as soon, because the thank you letter needs to get delivered, but its best to send it soon after the interview so the employer receives your note relatively quickly.

Before You Send Proofread Everything

Email templates are only as good as the effort you put into filling them out and proofreading them.

Go over every detail and make sure it actually makes sense for your situation. If not, sending that thank you email or letter will do more harm than good.

Example: In the third sample email earlier in this article, it says, thank you for taking the time to meet with me.

If you had a phone interview, you should say, thank you for taking the time to talk on the phone with me.

Otherwise, its going to sound a bit odd, and they might suspect you just cut & pasted from a template. Not good!

So be careful, take your time with these sample emails, and make sure every single word makes sense.

Set Yourself Apart From Other Candidates

FREE 4+ Thank

The last paragraph should close with a summary statement on what sets you apart as a candidate. Express what you could bring to the opportunity. Invite your potential employer to ask you further questions. End with a call to action that invites the employer to contact you. For example, “If you have any questions about my qualifications, please don’t hesitate to call or email me. I look forward to hearing about the next steps.”

Sign your full name and include your phone number and email address so it’s easier for the employer to contact you.

Sound Appreciative And Excited

The tone of every post-interview thank-you email should be appreciative and excited, Jensen said.

Makes sense. A thank-you note that fails to properly convey the senders appreciation of the recipient is a pretty lousy one. So dont play it cool or hard to get: Thank the interviewer for taking the time to meet with you, and say you appreciated the conversation.

Youll want some excitement to be evident in your tone of voice too. After all, youre interested in the role, and you had a great conversation with the interviewer. Make sure they can sense your enthusiasm. Your note shouldnt read like an overly formal robot wrote it, or like this is the third follow-up email you wrote that day.

Be careful not to let your excitement veer into desperation though. Hiring managers dont want to see candidates begging for a job.

How Do You Write A Follow

  • The subject line contains the relevant information.
  • You can open it with a greeting.
  • Write a sentence about the position.
  • Do you have a question?
  • Dont be silent about your interest.
  • Thanks for this offer.
  • End with your full name.
  • Wait at least a week.

A few weeks after a job interview, second follow-up emails are sent to hiring managers to check the status of the position.

If youre in the process of interviewing for a position, learning how to send a second follow-up email can help you stand out and show that youre still interested in the role. Candidates send their first follow-up email the day after the interview to thank the hiring manager.

If you dont hear from the company after about two weeks, you can send a second email asking about the position. Youre driven, motivated and serious about the position if you deliver a second follow-up email that is direct and well-written.

Sending one after the initial follow-up may help the hiring manager remember you, which can increase the chances that youll get a second interview or a job offer. The subject line of your second email should show what the email is about. It gives the hiring manager an idea of what to expect. The hiring manager can remember the exact details of the role you applied for after the greeting.

If you keep a second email simple, you will get quick responses from employers. Use only a few sentences to describe the position and interview, as well as keep the information simple.

  • Subject line
  • Opening sentence thanking them for the opportunity to interview
  • A statement explaining why you’re the best fit for the position
  • Any additional comments regarding what you previously discussed in the interview
  • Extra information you were unable to discuss in the interview
  • A message stating you look forward to hearing from them
  • Your signature and any additional contact information

Staying In Touch Email

How To Follow Up After A Job Interview – Interview Follow Up Email Template

Following your update, if you still have no reply, or the employer tells you that they have filled the position, it’s ideal to send an email that shows your interest in staying in touch. The goal of this communication is to establish a professional relationship with someone who may help you develop more skills. They may also be more likely to consider you for future open roles.

Like your update email, keep this one brief. Direct this email to the hiring manager.

Subject line: Keeping in Touch

Dear Marty,

I sincerely enjoyed my conversation with you and the other team members at DHY Inc. In particular, I found the account you gave me of your own career path very encouraging. As someone who’s aspiring to build my career in the music industry, I’d love to gain a better understanding of the way you have developed your knowledge in this field.

I would be so very grateful if we could speak again. I’d love to talk on the phone or meet in person over a coffee for a few minutes if you happen to have some time.

Thanks again,

Using Subjective Or Arbitrary Criteria

Rather than “screening out” candidates based on an initial gut feeling or on unpredictive criteria such as GPA, the address on a resume, or the sound of a name, the interviewer should make sure that the evaluation process is as structured, job-specific and objective as possible. This will give them the chance to hire great people they might not have even considered otherwise, said Michael Burtov, founder and CEO of GeoOrbital.

Short Interview Thank You Email Example

A short follow-up version may be most appropriate as a thank you email after a phone interview. In the short version, youll want to be concise:

Alternatives To A Follow

In the age of social media and online platforms, email isnt the only potential channel for following up after an interview. Depending on the job youre applying for, these alternatives may be more appropriate:

  • An instant messaging platform

  • WhatsApp

Use your judgement to figure out whats appropriate but generally speaking, its best to stick to one channel and one follow-up.

How To Write Thank

Most job seekers put a lot of effort into crafting a resume and preparing for an interview. Heres what many people dont spend much time on but should: thank-you emails after interviews.

Its surprising how many job candidates dont bother to send a thank-you note, because it really does make a positive impression on employers. Its a simple step to take, and it can separate you from equally qualified candidates who dont send a thank-you email after an interview. And yes, you should write a thank-you message after a video interview just as you would an in-person meeting.

If the challenge of crafting a great thank-you email is holding you back from sending one, youve come to the right place.

Interview Result Email To Candidate

The interview outcome email is important at every stage, especially the final one. At this point, you will have spent a significant amount of time with a candidate. A short email isn’t going to reflect the time, effort, and potential expense they’ve spent on this. Here’s how you deliver an interview result email to a candidate with some compassion.

Compose The Body Of Your Email

How to Write a Thank You Email After the Interview & WOW Them!

Introduce the reason for your email.

The body of a follow-up email should be kept very concise and to the point. Begin with thanking the interviewer for their time, mentioning when the interview took place to remind them.

Example: “Thank you for taking the time to interview me this morning, it was a pleasure speaking with you and learning more about the position.”

Reiterate your interest in the position.

Address specific discussion points and/or details from the interview and reaffirm your interest in the position. Address what in particular makes you the right fit for the job or how your experience and interests align with the requirements or demands of the position.

Example: “I was very interested to learn about . I am very excited about the prospect of .”

Add a closing paragraph.

End with a short paragraph addressing the next steps and asking whether any additional information is required of you . If during the interview a request for additional information was made, you can mention that this has already been sent or provided or that it is enclosed with this email.

Example: “Please advise on the next steps and whether there is anything you need from me in the meantime. I look forward to hearing from you.”

Follow Up After The Second Interview

Hi ,

I really appreciate you taking the time to speak with me again and discuss the position further. It was great learning more about what you do, what the position entails, and the kind of collaboration you expect from your team.

Id love to take this a step further, so let me know as soon as you have a decision.

Take care,

Avoiding Mistakes In Follow

Simultaneously, there are also some issues you must eliminate:

1. Dont Go After Your Interviewers:

A thank-you note and a follow-up email a week or two later are more than sufficient. Beyond that, youll be stressing them out rather than advertising yourself. Remember that your goal is not merely to demonstrate your qualifications to hiring managers, but also to persuade them that they want to work with you.

2. Dont Share Something That Makes You Appear Negative:

This includes the personal social media accounts with inappropriate photos or behavior. When evaluating this, err on the side of caution. You may see nothing wrong with a photo of you sipping a margarita on a sunny trip, but the recruiter may disagree. Similarly, dont send jokes or be too informal in your email tone by utilizing internet acronyms, etc.

3. Dont make it too much lengthy:

Keep your message brief and to the point. A lengthy thank-you email will not be seen by the interviewer. Concentrate on saying thank you and briefly expressing your enthusiasm in the job.

4. Sending misspelt or grammatically incorrect emails is prohibited:

When working on their own, even professional editors make mistakes. Before you hit submit, get another set of eyes to check over your work.

Things To Avoid When Following Up

At the same time, there are also a few things you should avoid:

  • Don’t Hound Your Interviewers: Initiatives such as a thank-you email and a follow-up a week or so later are more than enough. Beyond that, you won’t be promoting yourself you’ll be stressing them out. Remember that your goal is not only to show the hiring managers that youre qualified but also to convince them that they want to work with you.
  • Don’t Send Anything That Makes You Look Bad: This includes personal social media profiles that contain unprofessional pictures or behavior. Err on the side of caution when determining this. You might see nothing wrong with a photo of you enjoying a margarita on a tropical vacation, but the hiring manager might feel differently. Likewise, don’t send memes or be too casual in the tone of your email by using internet acronyms, etc.
  • Don’t Overwrite: Keep your message short and focused. The interviewer will not want to read a very long thank-you email. Focus on saying thank you and briefly reiterating your interest in the position.
  • Don’t Send Misspelled or Grammatically Incorrect Emails: Even professional editors make mistakes when they try to work on their own. Get another set of eyeballs to look over your work before you hit “send.”
