Why Should You Send A Thank You Email Or Letter After An Interview

If you think its terrifying being interviewed, youre not alone. But let me tell you, interviews can be an equally traumatizing experience from the other side of the table.

I kicked off the search for my first hire at Grammarly earlier this year, and when the first on-site interview came around, I was terrified. Sitting there with my list of questions and my notebook, I tried to simultaneously project confidence, follow my companys values, ask the right questions, make sure my hair didnt do anything weird, and mask my nerves.

Sound familiar?

Even if interviews are a vital part of the recruiting process, the first round of the interview process can be awkward for everyone. Thats why its key to write a thank you note after the interviewoften the process has made them just as uncomfortable as you are! Thats why a killer post-interview thank-you note can help you make a great impression and land the job.

But dont take my word for it! Lily Zhang, a career expert at MIT, put it this way on The Muse:

Think of it this way: Your interview isnt over until you send a thank you note. You want to move the hiring managers from interview mindset to decision mindset as quickly as possible, so dont drag it out.

I asked Olivia Seastrom, a recruiter at Grammarly, what she loves about thank-you notes. She said,

Who To Send A Thank You Note

If you’re interviewed by an individual person, feel free to send a thank you just to them. But if you’re interviewed by a group, make sure to send each person an individual, customized note. If you don’t have email addresses for everyone, create individual notes and ask your main contact to forward each note.

A Few More Parting Thoughts On Interview Thank You Notes:

1. Snail mail or email, its the message that counts! A lot of people get hung up on how they are going to send their thank you note but really its the content that is important. Also take a cue from the company and industry. If you are interviewing at minted.com, youll probably want to send a hand-written note. If you are interviewing with paperless post, probably not! If you are having trouble deciding, you can do both. Send the email right after the interview and follow up with a hand-written note starting with I just wanted to thank you again for

2. Dont let too much time pass by. There is really no excuse to wait more than 1 or 2 days to write an email. Some people wont care but others might hold it against you. The polite thing to do is write your notes/emails right away so the interviewer knows that you appreciated their time and that you are really excited about the job.

3. You are sending the note to say thank you but also to say remember this about me! Write a thank you note that makes an impact. Its another chance to impress your interviewer and give them something to remember you by. If there is anything you forgot to emphasize in the interview include it in the note. An example might be I know my years of experience doing X will allow me to make a meaningful impact on your team.

What Is A Post

A post-interview thank you note is a note you can send to someone who has just interviewed you for a job. It can take the form of either an email or a written letter, and it’s usually sent out within a few days of the interview concluding. While a post-interview thank you note is not necessarily required, applicants can receive some benefits from sending one out that make them worthwhile.

How to Write a Thank You Email After the Interview & WOW Them!

If youve developed a personal relationship with your interviewer, itll likely be awkward if you send them a generic or formal follow up after your interview. Instead, opt for a sincere letter that allows you to express your professional appreciation for the opportunity to interview. Make sure you thank your interviewer for their time and attention to your application.

Its suitable to send a sincere follow up email after your interview in situations where:

  • Youre honored to be considered for the position and hold the company youve interviewed with in high esteem.
  • The hiring manager made an exception for your application such as allowing you to submit your resume and cover letter via email after the position closed.
  • The hiring manager made a special effort to accommodate your interview schedule.
  • You would like to reference the personal connection you made with the hiring manager during your interview in an attempt to strengthen your application.

When To Send A Thank

If youâre writing a thank-you letter to the interviewer, itâs essential to consider the email timing. For the email to be relevant, you should try to send it while the interview is still fresh in your mind and in the mind of your interviewer. Try to send the email as soon as possible, within 24 hours ideally.

Pro Tip: To make it faster, you can prepare a thank-you email template in advance. Leave blanks in the template that you can personalize after the interview.

Note: If you are communicating with a hiring manager for a job through the Upwork platform, please note that all communication should be through Upwork. Instead of sending an email, users are required to use the Upwork Messages feature, where you can send a thank-you message. Learn more about Upwork Messages.

Approach To Writing The Follow

You can, of course, use the above template/example for your thank you after interview email, or you can write one from scratch. If you plan to write one from scratch, this section will serve as a helpful guide.

Steps to writing your own email:

  • Confirm the name, title, and email address of the person.
  • Write an opening sentence thanking them for their time and saying that you enjoyed meeting them.
  • Refer to any notes you took in the interview and highlight the things you really liked.
  • Go to the companys website and review their mission, vision, values, and/or purpose in their about us section.
  • Then you can note in your email a couple of things you particularly like about their culture and mission.
  • Write a closing sentence thanking them again and offering to answer any follow-up questions they may have.

DO send this message very soon after the interview, as soon as you are sure it is necessary particularly if you havent already sent a standard interview thank you note.

DO use email probably the best method to use because it is so quick. If the organization is anti-technology or feels extremely traditional, a letter that is delivered quickly might be a better response. If you do deliver it by hand, do NOT socialize. How to write a thank you note for an interview

The good news about a handwritten thank you is that you wont have much space to fill, so it can be much shorter. Avoid the instinct to write a long message. When you crowd too much handwriting into a small space, legibility and comprehension can be lost.

The bad news is that you need to write very carefully so the note can be easily read a harder task these days when most of us spend our time typing on a keyboard. Write the note on a piece of paper before you write it on a card to be sure it will fit and is legible.

    Date of the letter

    Dear Mr./Ms Last Name,

I appreciate your time and the information you shared in my interview on for the position. I am very interested in this job and in becoming a contributor to your organization.

I believe my experience as a where I will enable me to hit the ground running in this position. where I learned will enable me to hit the ground running in this position.]

Please contact me if you have any questions. I look forward to hearing from you soon. Thank you, again, for your time.

    Best regards,

Choose your words carefully and double-check the spelling of anything you are not 100% sure of. When you hand write a note, you dont have a built-in spell check to keep you from embarrassing yourself with bad spelling.

Sample Interview Thank You Email/note #:

    Hello < Interviewers Name> ,

Thank you for taking the time to interview me < yesterday/Friday/etc> . I enjoyed our conversation about < specific topic you discussed> and it was great learning about the < Job Title> position overall.

It sounds like an exciting opportunity and a role I could succeed and excel in. Im looking forward to hearing any updates you can share, and dont hesitate to contact me if you have questions or concerns in the meantime.

    Best regards,

< Your First and Last Name>

This is a short, casual email thats best for modern industries like tech, e-commerce, digital marketing, etc.

This type of short message also makes an ideal thank you email to a recruiter or HR person after a phone interview or other first-round interview. At that stage, you dont need to be sending a lot of detail in your thank you letter you simply want to give thanks and reaffirm your interest.

And modern companies dont want to see a ten-paragraph, formal thank you letter that takes ten minutes to read. In fact, it might make them want to hire you less because theyll doubt whether youre a fit for their company culture. Thats why I recommend keeping your message short and genuine, like the sample above.

Even if its a second- or third-round interview, this type of very short, concise thank-you email can still be effective. Heres an example of the type of message Id personally send if I were job hunting right now:

This Job Would Be So Good For Me Because

This is a trap thats easy to fall into. You want to talk about all of the ways that the role would positively impact your life.

Heres the brutal truth: prospective employers dont care. It might seem selfish or cold-hearted, but they want to know about how youll add value to their companyas opposed to how they can benefit you.

Resist the urge to rant and rave about all of the reasons that job would improve your life, and place the majority of your emphasis on what you bring to the table and how that contributes to any company goals.
