How To Write A Thank You Email After An Interview & IMPRESS THE INTERVIEWER

Dear Sir,

I write to acknowledge your invitation for an interview with me. I applied for the post of the radiologist in your diagnostic institute. I am exceedingly grateful for this opportunity. Nonetheless, the time and date for the interview states tomorrow by 9:00 am in your facility, but I happen to be outside the state at the moment to visit my mother who just got hospitalised.

I have booked the only available flight back, but expected time of arrival is 9:15 am and another 20-minute drive to your institute. If it pleases you, I will appreciate if the interview holds by 10:00 a.m.I do understand that time is of the essence and there are other applicants available to be interviewed, but I hope you consider my plight.

I await your decision.

Thank you in anticipation for a positive response.

Yours faithfully,Mr. Ryan Petrelli

Send The Email Within 24 Hours

When it comes to sending your thank-you email, dont delay.

Ideally, do that within 24 hours, Nelson said.

If you interviewed in the morning, send it that afternoon. And if you interviewed in the afternoon, send it the following morning.

A prompt note shows that youre responsive, a strong communicator with follow-through and that youre excited for the role.

If you wait two or three days to send it, though, the hiring manager might get a different impression of you that youre slow to respond, or not too interested in the position.

Im going to share exactly what to do when thanking the employer, based on my experience as a recruiter. And Ill give you plenty of sample thank you emails that you can use for inspiration, too!

Because the truth is: sending a follow-up message to thank the interviewer is a great idea, but if you dont send the right type of message, it can do more harm than good. So what you say matters!

Lets get started

Overlooking What You Post On Social Media

We all saw the disaster of the NASA intern who swore at a former NASA engineer on Twitter and subsequently lost her position. It should be a rule of thumb to avoid crude, offensive or sensitive posts about your interviewing process during your job search.

“Posting about the interview, especially about interviewers, can be seen as a lack of confidentiality or professionalism,” said Michelle Merritt, managing partner at Merrfeld Career Management.

Better yet, remain professional on social media at all times, not just while you’re applying to jobs. A professional and polished online presence is important regardless of your career stage.

Writing The Body Of Your Follow

How to Write a Thank You Email After the Interview & WOW Them!

The body of your follow-up email should be short and to-the-point. Most employers prefer to receive a short and sweet follow-up email after the job interview without any unnecessary info.

So be clear and direct about why youre following up. Dont be timid. However, you should be polite and respectful, no matter how long youve been waiting.

How to write a follow-up email after an interview:

  • Greet the recipient by their first name.
  • Explain that youre following up regarding the job you interviewed for, to ask about the status.
  • Be specific when mentioning the job include the job title, the date you interviewed, or both.
  • Reaffirm your interest in the position.
  • Ask directly for an update and say you look forward to hearing about the next steps.
  • Finish by thanking the reader and signing off with your first and last name.
  • Keep your interview follow-up email short and to-the-point without any unnecessary content.
  • Run spellcheck, and proofread everything before sending your follow-up email.
  • Maintain a positive tone throughout, and dont show frustration, even if this is a second or third follow-up after no response.
  • That last point is critical. Even if youre about to send a second or third interview follow-up email after two weeks, writing a rude message or showing frustration wont make the employers decision-making process move any faster, and it could even cost you the job.

The Email Account Used To Send Your Thank You

Send the message from the email address used for your application and/or resume to help the employer connect the dots between your message and the interview.

Using the same email address on your application/resume should also increase the probability that your message will get through the employers spam filters.

If you are employed, DO NOT send this message from your work email address! You may think it is impressive, but it looks to other employers as tacky and disloyal.

Using your work email system also increases the probability that your job search will be discovered which will not be good for you. People get fired for being disloyal and/or distracted because of their job search while employed.

When To Send After Your Job Interview

Um, now. If sending via snail mail, write and post the letter immediately after the interview. If youre emailing, by the end of that day is preferred, but within 24 hours is a must. You want the note to get there while theyre still talking about you. They could be making the decision in the next few days, and if they get your thank you earlier than the other candidates, it could put you one step ahead.

Thank You Email Length: How Long Should Your Message Be

Some samples above are more formal while others are more casual. Youll notice that theyre all relatively brief, though. In my experience as a recruiter, a short thank you email after the interview is best. On average, I recommend 85 to 150 words.

And thats true whether youre writing a thank you email after a phone interview, Zoom/video interview, or a second/third in-person interview.

Its also true whether youre writing to thank a recruiter, HR person, hiring manager, or anyone else who spent time interviewing you!

Your message could go up to 200 words if youre very far along in the hiring process and have spent multiple hours interviewing with people from the company, but Id still aim to be brief and concise, rather than sending a full page.

Use your best judgement, though. You know your industry and prospective employer, so think about what type of message theyll appreciate. The advice above is simply what works best for the greatest amount of people, on average.

    If Youre Writing A Thank

    • Did I include a relevant subject line? Is everything spelled correctly there?
    • Have I addressed the person Im thanking correctly? Am I spelling their name and email right?
    • Did I make my point in under five sentences?
    • Did I mention a specific topic, common interest, or question relevant to my discussion with this person?
    • Did I say thank you at some point in the note?
    • Are my signature, email name, and email avatar photo all in alignment to project a professional image?
    • Did I use Grammarly to edit this note for correctness, clarity, and word choice?
    • Did I proofread this email?
    • Did I hit Send within 24-48 hours?

If you did all of these things, congratulations! You deserve to grab a book and a snack and take a break. The hard part is over.

Keep It Short And Mind Your Structure

In the same vein, dont suddenly write a novel about how much you love the company or the person you talked to. You may have many things to tell this recruiter or hiring manager, but try to stick to one main point, question, or fun fact.

Personally, if Im reading a thank-you email longer than five sentences, Ive probably started to wonder if the time to read it was worth my investment. Knowing how to write a thank you email after an interview is a valuable skill. Trust me.

Why Is A Thank You Email After A Phone Interview Important

A thank you email serves as a professional thank you note to an interviewer that expresses your gratitude for the phone interview. Before You Send Proofread Everything

    Follow-Up Email After Interview? | Follow-Up Email After No Response | Q& A Roundup

Email templates are only as good as the effort you put into filling them out and proofreading them.

Go over every detail and make sure it actually makes sense for your situation. If not, sending that thank you email or letter will do more harm than good.

Example: In the third sample email earlier in this article, it says, thank you for taking the time to meet with me.

If you had a phone interview, you should say, thank you for taking the time to talk on the phone with me.

    Right?

Otherwise, its going to sound a bit odd, and they might suspect you just cut & pasted from a template. Not good!

So be careful, take your time with these sample emails, and make sure every single word makes sense.

A handwritten thank-you letter offers a personal touch and has the potential to set you apart from other candidates as many people dont mail letters anymore. However, it can take days for a mailed letter to arrive. The hiring process can move quickly so its recommended to always send a thank-you email, even if you decide to also send a handwritten letter. When you email, you can connect with the hiring team much more quickly and influence their decision before they complete the hiring process.
