How to Write a Thank You Email After an Interview ( a Template!)

These are guidelines we created for the product design team at Thumbtack for writing more consistent, balanced and useful interview feedback. While were focused on hiring product designers, user researchers and content strategists, we think these best practices can apply to almost any role.

As a growing product design team at a growth-stage startup, weve interviewed hundreds of candidates over the past year for our product design, user research and content strategy roles. Since our candidates meet 68 people from our team during an onsite interview, its important that our team is consistently calibrated, and that our candidates are evaluated as fairly as possible. We drafted the following guidelines last year, and since training the team on them weve seen a big improvement in our overall recruiting process.

Pitch A Solution To A Problem In The Company

Ideally, the employer is looking for a person who can fill a missing gap in the company, and this person needs to be a problem solver. If you can showcase how to handle a certain problem highlighted during the interview, go ahead to communicate the same. There is not much harm in accompanying the thank you email with an attachment and asking the interviewer to check it out in the email.

Finish With Professional Sign Off

Professional correspondence calls for a sign-off that measures up. Use options such as best regards, kind regards, and sincerely, to name a few. However, you can go for cheers if the position in question is in the informal sector or if the application in question is internal. Remember to add your contact information at the very end of the thank you email after the interview.

Two More Tips For Following Up

If you follow the advice above, you will have great emails to send after any interview from a phone interview to a final stage in-person interview.

However, there are also a few other tips I can share that will make the process easier and help you get the job:

Tip 1: If youre still not 100% confident about your emails after reading the information above, have a friend or family member look at your follow-up email to give feedback.

They can double-check everything and tell you if it sounds polite and clear, or whether something sounds off!

Tip 2: End each interview by asking when you can expect to hear feedback. Simply say, When can I expect to hear feedback, and who will be in touch?

Sometimes its normal for it to take one to two weeks for a response after your job interview. For example, maybe you were the first person they interviewed and they need to talk to a couple of other candidates before making a decision.

So this tip will save you a lot of stress because youll know whether its time to follow up or not, and you wont be worried if youve gotten no response after a couple of days.

While you wait for feedback, you can read these signs your interview went well or badly.

When To Send Your Thank

It’s best to send your thank-you email message within the first 24 hours of your first interview being complete. Even if that means you took your interview on a Friday.

Presume the interview took place at 3pm on a Friday. Send an interview thank you note immediately after the interview.

The hiring manager might have more interviews to perform. Regardless, they’ll see your email and it can help to show enthusiasm and excitement for the job opportunity.

Following Up After An Interview

Completing the interview does not mean you are finished. There are several things you should do afterward to make the most out of your interview. This lesson will explain how and why you should reflect on your interview and give you some samples of follow-up emails and thank-you letters. It will also discuss ways to evaluate a job offer, as well as how to gracefully accept or the offer.

Tips For Writing An Effective Thank

To write a subject line that works in the thank-you email you send after an interview, consider the following tips:

  • Be positive: Use an upbeat tone for the subject line that maintains the energy of the interview.
  • Be polite: Make sure to use friendly, respectful language and avoid being sarcastic, humorous, or overly informal even if you have developed a relationship with the hiring agent.
  • Be punctual: Ensure the recruiter receives the subject line in a thank-you email that is sent as soon as possible after your interview.

Assess Your Interview Performance

To assess your own performance, write the questions you recall answering and how you answered them. Importantly, also include the things you didn’t say that you wish you had. You may work some things into follow up. The goal is to identify issues and why they occurred. It can help you in future interviews.

How to write a thank you note for an interview

Heres a step-by-step method for writing your email:

  • Thank your interviewer. Start off by thanking them for their time and the opportunity. When you come from a place of professionalism and courtesy, youll set a positive tone for the correspondence.

  • Express disappoinment. Express that not getting the job was a letdown, but do so graciously. Make sure you dont sound like youre whining or disagreeing with their decision. Only include enough to show your genuine enthusiasm for the role and interest in the company.

  • Explain why youre writing.Post-rejection follow-ups are normal enough, but not everyone is asking for feedback.

    Express your motivation to continue seeking opportunities and improve your candidacy. The more focused you can make your email, the more likely the recipient will give you a substantive answer.

  • End the letter by asking for feedback. If you can, mention that youre looking for specific feedback it might prompt them to be a little less general. Ensure that your tone is polite and not demanding.

  • Thank them again. If you really liked your interviwer, you can briefly mention a positive moment from you conversation. Make them feel like an expert whos opinion you genuinely value, and theyll be happy to help.

    • Send them right away. As soon as you make your hiring decision, send out your rejection emails. This gives candidates the opportunity to focus their attention on other job prospects sooner.

    Is It Best To Send A Thank You Email Or A Note/letter

    I get asked this frequently: Whats your opinion on sending a thank you email, versus mailing a thank you letter after your interview?

    For most people, I recommend email. There are three reasons why:

  • You can make sure it gets delivered at the exact time you want
  • Its easier and takes less time
  • Its more modern and simpler for the company
  • However, in specific cases, you may want to send a thank you letter in the mail after an interview.

    A paper thank you note/letter might be better if youre in a very traditional industry . Or if youre interviewing for a very high-level position .

    But for most job seekers, I recommend sending a thank you email.

    One more option to consider: You can write a personalized thank you card and then send a picture of it digitally, either in a LinkedIn message or in an email. Thats a good way to stand out and give a more personalized feel to a digital message.

    Follow Up After An Interview

    You are not done when the job interview is over. There is more to do to get you hired.

    You have another opportunity to make an impression after an interview. This is when you follow up with a thank-you letter, note, or email. It should be personalized for each interview and include these main ideas:

    • State your appreciation for being considered for the job.
    • Express your interest in employment.
    • Summarize your qualifications.
    • Provide any important information that you might not have covered in the interview.
    • Add a final “thank you.”
    • State your plan to follow up as previously agreed.

    The Importance Of Following Up

    Following up with the people you communicate with during each stage of the hiring process shows that you are grateful and excited about the position. This will likely help to increase your chances of getting to the next interview, and eventually receiving an offer.

    Writing a thoughtful follow-up expressing your enthusiasm about the job, thanking the reader for their time and including anecdotes from your conversation shows strong soft skills. Because soft skills are more difficult to teach in the workplace, candidates that show respect, communication and active listening skills will be highly sought-after by employers. It will also make you a more memorable candidate as you will have had more communicative touch-points than those who did not send a follow-up.

    Send Separate Emails To Each Interviewer

    If youre interviewed by several people, ask for their business cards at the conclusion of the interview so you’ll have the contact information for each thank-you email.

    Then, send email messages to each person who interviewed you. Your messages should vary somewhat so that the recipients can’t compare notes later and feel as if they just got a chain email.

    Share Other Open Positions

    How to Write a Thank You Email After the Interview & WOW Them!

    If you feel like they can add value to other areas of your company, share other open positions with the candidate. Encourage them to apply to these roles for another work opportunity. Sharing positions reminds the candidate of their potential and gives them another chance to work for your company.

    Best Thank You Email Samples After An Interview

    Below, youll find four good sample thank-you emails. These can also be sent as a typed or handwritten note if you prefer.

    Later in the article, Ill cover the pros and cons of sending this via email versus a handwritten thank you letter/note. So if youre not sure which to send, make sure to read until the end.

    For now, just know that you can use these sample thank you emails in both cases.

    End With A Signature And Your Contact Info

    Of course, the follow-up email after the interview with no response should have your personal signature and your contact information at the end. Indicate your phone number and email. It is always better to have a separate block that stands out of the general text of the letter. This way it will be more noticeable. Its always easier to contact you when personal data can be easily and quickly found.

    Worst case, if your card isnt deliverable, you will know when the Post Office returns it to you.

    Include your business card in the thank you note, just in case the recipient doesnt remember you. The business card also makes it very easy for the recipient to reach out to you without going to the trouble of digging out your resume or application.

    Recap Of Your Qualifications

    Next, provide a short recap of your experience and background. The interviewer should already be aware of these qualifications after reading your resume and meeting with you, so this section should be brief. Connect your qualifications to the position and its unique requirements to express why you are such a strong candidate for the job. For example, you can write, My social media and search engine marketing expertise would make me an excellent candidate for this marketing role.

    Writing The Body Of Your Follow

    The body of your follow-up email should be short and to-the-point. Most employers prefer to receive a short and sweet follow-up email after the job interview without any unnecessary info.

    So be clear and direct about why youre following up. Dont be timid. However, you should be polite and respectful, no matter how long youve been waiting.

    How to write a follow-up email after an interview:

  • Greet the recipient by their first name.
  • Explain that youre following up regarding the job you interviewed for, to ask about the status.
  • Be specific when mentioning the job include the job title, the date you interviewed, or both.
  • Reaffirm your interest in the position.
  • Ask directly for an update and say you look forward to hearing about the next steps.
  • Finish by thanking the reader and signing off with your first and last name.
  • Keep your interview follow-up email short and to-the-point without any unnecessary content.
  • Run spellcheck, and proofread everything before sending your follow-up email.
  • Maintain a positive tone throughout, and dont show frustration, even if this is a second or third follow-up after no response.
  • That last point is critical. Even if youre about to send a second or third interview follow-up email after two weeks, writing a rude message or showing frustration wont make the employers decision-making process move any faster, and it could even cost you the job.
