If you havent heard back after checking in, or you found out you didnt get the job, you can still email the hiring manager explaining how youd love to stay in touch. The goal of this email is to establish a relationship and for them to keep you in mind and help you grow.
Just like the post-interview check in email, this one is short and sweet.
- Send this email to the hiring manager.
- Thank them for their time and consideration in the interview stage.
- After addressing them, mention what it is about them that you find interesting or inspirational.
- Limit this email to one to two paragraphs and include a proposed time to meet for a call or for coffee.

There are no official rules when it comes to thank-you emails. We recommend sending them within 24 hours of the interview to increase your chances of getting the position. However, there are circumstances where this is not possible. Or sometimes we simply forget. If you find yourself in this situation, dont be put off from sending an email, even if its a week late.
Its better to send an email late than never to send one at all. Dont forget, the goal of the email is to express your sincere gratitude for the opportunity of the interview. Even if you dont get this job, you never know when your path with the interviewer might cross again in the future.

Youâre positive youâre a good fit and that itâs only a matter of time before they call you with an offer. Below, youll find four good sample thank-you emails. These can also be sent as a typed or handwritten note if you prefer.
Later in the article, Ill cover the pros and cons of sending this via email versus a handwritten thank you letter/note. So if youre not sure which to send, make sure to read until the end.
For now, just know that you can use these sample thank you emails in both cases.
Be Patient After This
If you still havent gotten a response at that point, Id be patient. Theres a chance that an important person in the hiring process is on vacation, or that the person youve been emailing is extremely busy, sick, etc.
So I recommend waiting a minimum of 48-72 hours at this point, and in some cases, a full week is better to wait.
Sending another follow-up sooner than this wont help you get the job. So try to focus on other tasks in your job search while waiting to ask for an update again.
Once you do feel its time to take things further, heres who to email and how to write the email
Pick the next logical person in the company to email.
For example, if you were emailing an HR person before, try the hiring manager or somebody in the department youve been talking to in your job interviews. Or vice versa if youve emailed the hiring manager multiple times with no response, then try checking in with HR, a recruiter, or another relevant contact within the company.
Since this is a brand-new email thread, youll need to write a subject line. I recommend keeping it simple and using one of the example subject lines that I shared earlier in this article.
Sound Appreciative And Excited
The tone of every post-interview thank-you email should be appreciative and excited, Jensen said.
Makes sense. A thank-you note that fails to properly convey the senders appreciation of the recipient is a pretty lousy one. So dont play it cool or hard to get: Thank the interviewer for taking the time to meet with you, and say you appreciated the conversation.
Youll want some excitement to be evident in your tone of voice too. After all, youre interested in the role, and you had a great conversation with the interviewer. Make sure they can sense your enthusiasm. Your note shouldnt read like an overly formal robot wrote it, or like this is the third follow-up email you wrote that day.
Be careful not to let your excitement veer into desperation though. Hiring managers dont want to see candidates begging for a job.

Example Email: First Follow
This email should be sent within the first 24 hours of your interview. In this email, highlight how your strengths and qualifications align with the duties of the position. Refer to your notes from the interview and the job description to choose words that will stand out the employer.
Communicate your excitement for the opportunity by showing your interest and your belief that you are the best person for the job. If theres anything you forgot to mention during the interview, this could be a good chance to bring it up.
In the first paragraph, mention the specific job title and thank the interviewer.
In the second paragraph, note the company name and a conversation point or goal that seemed important to the interviewer, and connect it to your experiences.
In the final paragraph, invite them to ask additional questions and close by saying youre looking forward to hearing back from them.
Thank You Email Subject Line
Make the purpose of your message clear with a formal subject line like the examples below. DO use the whole phrase thank you in the Subject and the message. Do NOT use the informal term thanks. For example:

Replace the text above with the appropriate information for you.
Keep the subject line shorter than 75 characters, if possible. Many email systems show only the first 40 to 50 characters, so keep that in mind when you write your subject.
Avoid seeming to be casual or informal by using a subject such as Hi! or Greetings! or even Thank You! These subjects have two major problems:
- They do not make the topic of the message clear.
- They do not look professional.
- They may be caught in spam filters and never seen by a human.
- They do not look like you are taking the opportunity seriously.

In my experience, this approach usually gets even the busiest recruiters and hiring managers to respond. Some may simply reply with a simple “thank you” and “good luck,” while others may offer you helpful feedback.
Key Mistakes To Avoid
When writing your post-interview thank you email, avoid these common mistakes.
Writing snail mail
Avoid a thank you letter. While some resources suggest that the wedding planning industry and legal industry still appreciate handwritten letters, we live in a fast-paced digital age . An email can get to the interviewer quicker.
While they are both considered a very traditional industry, it’s best to focus on writing an email within 24 hours of your interview. A handwritten note sounds nice.
Most modern companies use email now, it’s best to use email versus mailing the note.
Waiting too long
Anything past 48 hours is too long. And doesn’t show enthusiasm or passion that the interviewer is going to be looking for.
Pro tip! Send the email immediately after the interview is complete. It’s not too eager, contrary to what you might think.
Not following up
Didn’t hear back from the interviewer about the next steps in the interview process? Then follow-up to the thank-you email and ask to get an update on the status of the position and the job placement.
A follow-up message should be sent if you haven’t heard anything from the prospective employer within 3 to 5 business days.
Writing a long email
Keep the message short, it should be only a few sentences. Using your own voice, rather than following some type of script. Provide information that can help with the hiring decision, but don’t be pushy!

You might hit it off with the hiring manager, but you should try to remain professional through the entire hiring process.
