Make The Subject Clear
Writing a clear subject line can help attract the hiring manager’s attention and possibly increase the chance they will reply. State your intention in the subject line, so they know what the email is about. Be professional and keep your intention at the forefront of your message. The hiring manager needs to understand what you’re asking before they even open the body of your email. If you have previously communicated through email, reply to the most recent message. This makes it easier for the interviewer to review your email history. Here’s an example:

But it’s always best to err on the side of being too persistent rather than not enough. If you haven’t received a decision from the company within a week or two after your interview, it’s generally safe to send a reminder email again. You can either send an email or give them a call just be sure to personalize your message so it doesn’t come off as spammy.

Note that at the end of the third paragraph, you could also add details about WHY you feel confident youd succeed in this role. Doing this will make your thank you email more convincing to hiring managers.
Try to remind them of something you shared in the interview, like a piece of past experience, or a skill you have, that will prove to them youll be able to come in and be successful in their role.
Immediately After The Interview
Its always a good idea to send a follow-up email in the first twenty-four hours after your interview. Its the perfect time to thank the interviewer for their time, clarify why you think youll be an ideal hire, and keep your application at the forefront of the managers mind.
A follow-up email immediately after the interview doesnt have to be long or complex. Open your message with a thank you, express your excitement about the position, and be specific about how your experience and ability can help the company achieve goals that were mentioned on the day so the interviewer knows that you were paying attention. This is also a good spot to include something important that you may have forgotten on the day.
Summarize what unique skills youll be able to bring to the position, and end the email with a friendly, professional closing phrase and make sure your contact information is included. You should use two or three paragraphs at most for the body of the email, and make sure that you ask to be kept informed about the recruitment process.

Consider Scheduling For The Morning
Is there a best time of day to send that follow-up? The more important detail is that its sent within 24 hours, but some argue that a morning send is ideal. That way its among the first emails to hit the hiring managers inbox as theyre greeting the day.
Khine mentioned email-scheduling tools like Boomerang and Gmails schedule send feature, which a candidate can use to pre-write a thank-you and slate for morning delivery, even if their schedule or habits dont necessarily facilitate that timing.
All of a sudden, it looks like youre a morning person, even if youre not, Khine said.
Reiterating Interest In The Job And Company And What You Bring To The Table
After thanking the interviewer, express your excitement for learning about the role and company. Reiterate your interest in the job. An interview is a time for the company to see if you are a good fit for the role, but you should also be attentive to learning if you think the company and role is a good fit for you. Not sending a thank you email could be interpreted as a lack of interest in the role. Its also important to align yourself with the companys mission, values, and culture.

As a general rule of thumb, its a good idea to send a thank-you email within 24-48 hours of first meeting the interviewer.
Every organization is different. Some companies may only have one interview. Others may have multiple rounds of interviews, like BetterUp.
Regardless, each interaction with a new interviewer should warrant a thank you email. Lets say Maria just had a phone interview with a recruiter for a marketing position. Shes really interested in the role and the next step would be to meet the team.
She learned in the phone interview that her qualifications match up with the role perfectly. She also learned more about the company culture and growth opportunities. Maria decides to send a thank you follow-up email after her phone interview, eager to hear the next step.
So Watch The Exclamation Points
That brings us to an eternal source of business email anxiety: the exclamation point. Do too many look manic or juvenile? Do too few look disinterested or anhedonic? Do you need to have at least two sentences end without an exclamation point, as the classic, viral Grace Segers joke goes, just to prove your normalness?
While no employer keeps a running spreadsheet of punctuation choices among candidates, and the number of exclamation marks is unlikely to make or break your candidacy, be conservative.
Its probably the same rule of thumb, I would say, for any professional email correspondence, Khine said. You dont want to use more than a handful of exclamation points or anything to that effect.

Well, there could be a few reasons why you havent heard back. Maybe theyre just busy, get hundreds of emails, and havent had a chance to reply to you yet. Or they decided to go with another candidate. Theres also a chance that your interview didnt go as well as you thought it did, or they still are in the process of deciding. Moreover, your previous email could have landed in their spam email inbox.
But no matter what the reason is, its always a good idea to send a subsequent email after an interview if you havent received a reply to the first.
Here are some tips on how to write your job interview follow up email:
First, you should wait at least a week before sending a second follow-up email. If you contact the company again too soon, they may think youre desperate.
Next, make sure that your follow-up email is polite and professional. Address the interviewer by their name and start with a courteous phrase such as Thank you for taking the time to meet with me.
