How To Write A Follow Up Letter After An Interview

What If The Employer Says They Dont Have Any Feedback Yet

How to write follow up email after having job interview

In some cases, the hiring manager or recruiter will reply to your follow-up email and say theyre still in the middle of the hiring process and dont have information about the next steps yet.

At times, theyll be specific about what theyre working on behind the scenes but often, they wont tell you the specifics.

Either way, I recommend responding with a brief email to keep the conversation alive and ensure that you stay in touch. By using the following email template, you give yourself an opening to follow up again if needed, too.

The Body Of Follow Up Email After An Interview

Make the main body of your email clear, just like the subject line. If you get no reply after the interview, you should pay attention to the issue of the main body in your follow up email. Have no fear, ask direct questions and demonstrate your interest in the vacancy. There are two ways to write the follow-up note. They depend on whether you sent a thank-you email or not. If you did:

  • Specify the reason of your writing
  • Mention your interest in the position
  • ask for some extra information.

If you didnt send a thank-you email:

  • Begin with expression of gratitude to the interviewers and their interest to your candidacy
  • State your willingness to accept the job offer
  • Indicate that the purpose of this email is to inquire about the hiring process
  • Once more thank your interviewers and finish the email.

If your follow up email after the interview included a tank-you note and you still did not get a response, send a verification letter. This type of letter is sent if there is no reply from a prospective employer more than 2 weeks after your meeting.

The text should be as concise as possible. It is necessary to clarify that you need some extra information, but do it in a non-intrusive kind of way, do not be overzealous:

  • indicate the vacancy you were interviewed for in the subject line
  • state the question in no more than one paragraph, emphasizing you are still looking for work and need updated information

Among all the follow-up email examples, take note of this option:

Overview: Writing A Follow

As numerous studies show, more than 90% of employers would not mind receiving letters of gratitude regularly. Moreover, almost 60% of candidates never send them at all. Use this piece of advice and send them a short thank you note. This way you will immediately go around more than 50% of the other contest participants. In addition to gratitude, express your excitement and eagerness for the proposed position.

Decide if You Want to Go Positive or Negative.I mean your email campaign

Good follow up email after an interview also has a well-formed subject line. Take a look at some of them:

  • Thank you Mr. Jones!
  • Thank you for your time!
  • Thank you for giving me such an opportunity!
  • Your advice was very valuable!
  • Pleased to meet you! I appreciate the new experience! Thank you!

After expressing gratitude for giving you the time, it is worth emphasizing the fact that your talents and skills correspond to the requirements of a vacant position to the utmost.

Another effective move is when you turn to some important details from the interview in order to find a response from the employer. These may be statements made during the conversation, an accurate description of some essential issues as for the position or you personally as a candidate. Show your genuine enthusiasm and belief that you are exactly the one they need.

How Long Should You Wait After An Interview To Follow Up

You should follow up five business days after your job interview if you havent heard feedback from the employer. Or, if the employer provided an expected date for feedback after the interview, follow up one business day after that date has passed.

For example, if the hiring team said that they would inform you about the next steps within three days of your job interview, wait four days, and then send a follow-up email.

The idea is this will help you avoid looking too eager and desperate.

Note that you should also send a thank-you email within 24 hours of the interview!

Dont use these follow-up templates to email the company a day after your interview employers need time to make their decision. However, companies appreciate a brief thank you before theyve even made a decision.

Don’t Listen To Boring And Repetitive Advice Online

If you search “Follow up email after interview” in Google, you’ll come across incredibly boring email templates, such as this one:

Dear ,

Thank you so much for taking the time to interview me yesterday. It was such a pleasure to learn more about the team and position, and Im very excited about the opportunity to explore a career with your company.

I look forward to hearing back from you about the next steps, and please let me know if I can provide any additional information.

So, what’s wrong with it?

  • It’s incredibly boring.
  • The same thing could be written to any other interviewer.
  • Fails to mention any personal connection or topic of conversation that occurred during the interview.
  • Conveys a lack of interest in the company.
  • Provides no added value to the interviewer.

If I sent this as my follow-up thank you email, I might as well not have sent one at all. I needed to prove that I deserved the job. That I was the person this team needed.

Dos And Donts For Bad Interview Follow Up Notes

Be very careful with this message! You dont want to draw attention to your error.

DO send this message very soon after the interview, as soon as you are sure it is necessary particularly if you havent already sent a standard interview thank you note.

DO use email probably the best method to use because it is so quick. If the organization is anti-technology or feels extremely traditional, a letter that is delivered quickly might be a better response. If you do deliver it by hand, do NOT socialize. Just drop it off be as low-profile as you can be.

DO NOT make this message long or include too many details or apologies. Be brief. Make your point, and end the message.

DO NOT send this message so quickly that you make errors in grammar or facts. Avoid misspellings and sending it to the wrong person. If possible, have someone else proof it for you.

Long Interview Thank You Email

In the long version, you have more opportunities to explain your skills in detail . This is appropriate after an in-person interview or other meaningful interactions during the hiring process.

Subject line: Thank you for your time

Dear Mr. Jefferson,

Thank you very much for your time yesterdayit was a pleasure speaking with you about the account executive role. From our conversation, its clear that ABC Inc. has the energetic and hardworking environment Im seeking.

I especially enjoyed discussing your need for someone who can create value and insight during client conversations. Its an interesting challenge, and Ive continued reflecting on it since our meeting. Over the last few years, Ive encountered many of the same roadblocks we discussed: tightening client budgets and lengthy decision-making processes. Prioritizing the quality of the conversation over simple information delivery has been one of my most successful tactics in overcoming those roadblocks and one reason Ive routinely exceeded my quotas.

In my relationships with clients, I focus on building trust and boosting credibility, and Im excited about the prospect of bringing that skill set to ABC Inc. If you need any further information, please feel free to contact me by email or phone.

How To Write an INTERVIEW FOLLOW UP EMAIL! (The PERFECT Follow Up Email after a JOB interview!)

Know the information a potential employer wants in your follow up letter.

What to include in the follow up letter

A potential employer will have certain concerns and questions about any job candidate. The interviewer will have tried to answer these questions about the candidate’s suitability by asking the right job interview questions.

The follow up letter after interview is an excellent opportunity to reaffirm that you are suitable for the job and to address the employer’s concerns by answering the following questions:

  • Does the candidate have the necessary skills and experience to do the job?
  • Will the candidate work hard and be reliable?
  • Will the candidate be able to learn the job quickly enough?
  • Will the candidate get on well with other employees?
  • Will the candidate take responsibility and be able to work independently?
  • How enthusiastic and committed is the candidate?
  • If hired, will the candidate leave after a short period?
  • Can I trust this candidate and the information he or she has given me in the interview?

Keep these questions in mind when writing your follow up letter. A convincing letter will answer all these questions and assure the interviewer that you are the right candidate for the job

So Watch The Exclamation Points

That brings us to an eternal source of business email anxiety: the exclamation point. Do too many look manic or juvenile? Do too few look disinterested or anhedonic? Do you need to have at least two sentences end without an exclamation point, as the classic, viral Grace Segers joke goes, just to prove your normalness?

While no employer keeps a running spreadsheet of punctuation choices among candidates, and the number of exclamation marks is unlikely to make or break your candidacy, be conservative.

Its probably the same rule of thumb, I would say, for any professional email correspondence, Khine said. You dont want to use more than a handful of exclamation points or anything to that effect.

And keep them out of your subject line altogether. They make your email look spammy and that much easier to overlook. If you write, Lets change the world together!!! with three exclamations, you might just get screened out, Raman said.

  • Should I write a thank you email after an interview?

Yes, you should write a thank you email after an interview. Following up after an interview to thank hiring managers for their time is always a good idea, and sending an email is one of the most effective ways to accomplish this.

An email is more professional and less invasive than a text. Its faster than a handwritten letter, allowing you to communicate more carefully than a phone call. While some of these other methods may be appropriate in certain situations, an email is almost always the best bet.

Writing an email also makes it easier to explain why youre excited about the position and reiterate your passion and qualifications. Dont overdo it, but including a line or two reminding the recipient about why youre interested in the position and why youd be a good fit can solidify who you are in the interviewers mind.

Make sure you always start your email with your note of thanks, acknowledging the interviewers time, and even mentioning something specific you enjoyed talking with them about. Making it personal shows that you put effort into your note, so dont use a template or send the same email to multiple people.

As you write, match your tone to the tone of the interview, but keep it professional. Just because you bonded with the hiring manager over your love of snowshoeing doesnt mean you get to assume youre best friends now.

  • Mistakes To Avoid As An Interviewer

10+ Sample Follow Up Email After Interview â PDF, DOC

Job candidates sometimes forget that it is often just as stressful being on the other side of the process. Interviewers and hiring managers have the pressure of finding a candidate who can perform the duties of the job, mesh with the company culture, want the salary the job offers, and meet many other important criteria.

As such, interviewers can mess up too. Here are some of the most common mistakes interviewers make and how you can avoid them.

  • Address the recipient by their first name
  • Express thanks and gratitude for their time and effort
  • Reiterate your interest in the job and company
  • Mention when you interviewed, the job title, and the job details
  • Ask directly about the status and next steps
  • Offer additional information
  • Stay positive
  • Every organization and employer is different. You might be in communication with the recruiter throughout the interview process. Or you might have communication with the hiring manager directly.

Regardless, its important to identify whom youd like to follow up with directly. Make sure youre spelling their name correctly. Then, express your gratitude and appreciation. While the hiring process may look simple, its not as easy as it seems. Depending on the company, it can take rounds of approvals and hoops to push a candidate through to the next step.

Once youve thanked the person for their time, its time to reiterate your interest. Mention both the job and company and why youre excited about the opportunity. Make sure you also mention when you interviewed and the exact job title. If youre communicating with a recruiter, its likely theyre juggling multiple candidates and open positions.

Then, be direct. Ask about the status of the position youve interviewed for. Inquire about the next steps. You might offer additional information, like references, at this stage as well. Finally, close your email with another note of gratitude.

Qualify Yourself On The First Lines

On the first lines of your letter, you should mention exactly the place, the time, the position and the person who led an interview with you .

Some recruiters interview more than fifty applicants each week, for different positions and jobs. It would be a fallacy to believe that they remember the details of the interview with you, or with any other applicant. You have to remind them what happened, when the two of you met, and what job you applied for.

    It Helps You Stand Out

The fact that you got the interview shows that you made it further than most other applicants. For any job position especially a coveted one with a good company there are usually dozens, hundreds, or even thousands of applicants.

Most applications and resumes get thrown out pretty quickly. Thats the harsh reality when a job is in demand, recruiters just cant give everyone a chance.

Nevertheless, youre probably not the only applicant who they are interviewing, either. If it was a phone interview or an interview over Zoom or Skype, the likelihood that there are other interviewees goes up.

After all, its not that hard to schedule phone or Zoom interviews back to back.

A follow-up email gives you a chance to stand out and make yourself look better.

You might think that everyone is sending a follow-up email, but thats not true! In fact, 57 percent more than half of interviewees do not send any thank you note after an interview.

After all, you can never go wrong with a Thank You note!

    What Does An Effective Follow

How To Follow Up After A Job Interview – Interview Follow Up Email Template

An effective follow-up email to send when you havent heard back from an interviewer will include a fantastic subject line and a crystal clear body. It will be brief but also have substance as well.

When Should You Send A Follow Up Email

The best time to send a follow-up email is within 24 hours of the interview. Its best not to wait too long.

If you can, send an email the same day. However, thats not always practical.

If you took the interview in the morning or early afternoon, you can send the follow-up email that same afternoon. However, if you send it too late, it might defeat its purpose.

Thats because if you send it at night, your email might get pushed down in the inbox overnight by other incoming mail. So, if you took the interview at the end of the day or at night, send the follow-up email the following morning, at the start of the workday.

At the same time, its never too late to send a follow-up email! If you didnt send a follow-up email within 24 hours, and its been a few days or even a week, dont despair.

You should still send a follow-up email. Doing something is better than doing nothing!

Youll need to tweak your follow-up email a bit. Even if you didnt get a response since the interview, it doesnt mean they arent interested!

Sometimes, especially if its a small team , they might have just gotten busy. Sending a follow-up email, even a week later, can help you keep yourself on their radar.

Also, as I explained above, it allows you to add some details that will help you stand out and show your qualifications even more.

Even in more organized companies, mix ups and mistakes happen. Thats why it never hurts to send a follow-up email, even two weeks later.
