Steps to writing your own email:

  • Confirm the name, title, and email address of the person.
  • Write an opening sentence thanking them for their time and saying that you enjoyed meeting them.

  • Go to the companys website and review their mission, vision, values, and/or purpose in their about us section.

    When Should I Send A Second Follow Up Email

    You’ll send your first follow up email right after your interview, but sometimes it will be necessary to send a second follow up email.

    You want to wait the appropriate amount of time before reaching out a second time, but you also need to know the job opening’s status in order to take care of your own affairs. If you have the chance, ask at the end of the interview about when you can expect to hear back about a decision. If you don’t hear back from them within this time frame, give them an extra day or 2 before sending a second follow up email to check the status of the job opening.

    If they aren’t able to give you a specific time frame for when you’ll hear back from them, wait until one week has passed since your interview before sending a second follow up email to check in.

    You’ll want to keep this “checking in” email very brief while remaining polite. Brief emails are more likely to get a quicker response rate.

    Kinds Of Follow Up Email After Interview

    Generally, there are three common types of emails you can send to your hiring manager.

    First: You send a followup email 24 hours after your job interview.

    Second: In case you dont hear back, you go with second followup email no response.

    Third: Its commonly known as stay-in-touch format email. Interviewer might have selected someone else but you want to be in his list just in case a new job opportunity arises he will contact you. You can develop professional contacts through this email.

    • If you get a response from your very first email, then you dont have to go for a second one. The best case scenario is one when you dont have to create a second email as a reminder.

    This isnt always possible, but in certain situations such as when you forgot to mention qualifications related to the job during the interview or you may have a recent accomplishment happened in between the interview and the waiting period. For example, if youve worked in PR and made significant impact to your companys success, you can tell the story behind it and how you did it. Similarly, you can mention a time such as when you organized an event that went off without a hitch. These stories will add to your credibility and will increase your chances of getting hired.

    Exactly how you touch base can vary depending on the circumstances surrounding the contact. For example, youll use a different approach for a follow-up email after no response than you might in other situations.

    Here, were going to focus on a basic job interview follow-up email, as you can adapt it to a range of scenarios. Plus, just because the hiring manager reached out after your interview doesnt mean you wont need to follow up, so its good to know how to do it even if it isnt an issue of no response.

    But why would you need to follow up after a job interview? Wont the hiring manager end up making whatever decision they feel is right eventually?

    Well, it is true that the hiring manager will make a choice at some point. The thing is, if they havent made it yet, your follow-up email can make a difference.

    In the end, 74 percent of employers admit theyve made a bad hire at some point. Why does that matter? Because bad hires are expensive, and a single experience with one could make a hiring manager a bit gun-shy when they need to choose a candidate.

    However, there are also a few other tips I can share that will make the process easier and help you get the job:

    Tip 1: If youre still not 100% confident about your emails after reading the information above, have a friend or family member look at your follow-up email to give feedback.

    They can double-check everything and tell you if it sounds polite and clear, or whether something sounds off!

    Tip 2: End each interview by asking when you can expect to hear feedback. Simply say, When can I expect to hear feedback, and who will be in touch?

    Sometimes its normal for it to take one to two weeks for a response after your job interview. For example, maybe you were the first person they interviewed and they need to talk to a couple of other candidates before making a decision.

    So this tip will save you a lot of stress because youll know whether its time to follow up or not, and you wont be worried if youve gotten no response after a couple of days.

    How Long Should I Wait Before Sending A Follow

    This depends.

    Send that initial thank you email within 24 hours of the interview dont wait longer than 48 hours.

    If you dont hear back, wait at least three business days before sending a follow-up.

    If you have a second interview, again, follow up within 24-48 hours.

    Tip: Whether youre having an interview over the phone or in person, ask about the next steps.

    If you ask specific questions, youll know when to follow up:

    • “When would be a good time for me to follow up?”
    • “How soon do you plan on making a decision?”
    • “May I get in touch with you next week if I havent heard anything?”
