Don’t: Use A Form Letter
Try to vary the language you use when writing a thank you note. This will allow you to tailor each note to the unique interview experience, which can help you stand out against other candidates. When using a form letter, it is also possible to accidentally include incorrect information such as the wrong company name or address. Try writing each note separately to ensure accuracy and specificity.

Be Positive And Passionate
Positivity and passion go a long way. In fact, it’s one of the main things that you might be evaluated on during the phone interview or in-person interview. It’s not necessary to go in-depth on the enthusiasm, just show interest in wanting to move forward with the company.
Including a note about the company culture, if the company website references something critical. For example, collaboration or inclusivity. Mention those as being part of your personal values. Most job seekers forget to scour the company website for clues!
You’re Showing Good Manners
In addition to evaluating whether you can adequately perform the duties of the job, any good hiring manager is also using the interview process to determine whether you are someone they would actually want to work with. In my personal experience, its always important to find someone to hire who can fit well with the company culture, get along with others, and represent our team and company admirably when I cant be there.
If you dont write a thank you note or email, especially after an in-person interview, Id have to question whether you have the kind of manners that would make you a positive addition to the team. The absence of a note is just not a good idea doesn’t help the impression you’re trying to make.
Even if you dont want the job, you should ALWAYS still send an interview follow-up email, because every time you interview, you are making an impression and a new possible connection. Its a small, small world and you never know how your path may cross again.

Use This Opportunity To Overcome Objections
If the interviewer expressed a concern with hiring you, address it head-on in your thank-you note. Explain that you can demonstrate what it takes. Also, restate how your skills and experience are directly tied to the hiring manager’s needs. If you forgot to bring up an important qualification during the actual interview, see if there’s a way to seamlessly work it into your post-interview follow-up.
Use The Rule Of 3 To Write Your Note
Three sentences, plus a date, a greeting, and a close, are all you need to get this job done.
At the top of the note, in the right-hand corner, write todays date.
Then, on the left, write, Dear . If the person was super friendly, a first name will do it they were super formal, use their title. In between Mr. or Ms. and their last name is correct.
Sentence: #1 Thank the person for meeting with you.
- If you liked them, or if they were particularly friendly, you can say something like Thank you for making my interview today so pleasant.
- If they were more businesslike, just say something like, Thank you for taking the time to meet with me today.
Sentence #2: Mention something that you liked about the interview.
- If they were personal or friendly, say something personal, such as, I particularly enjoyed our talk about .
- If they were more businesslike, say something businesslike, such as, I was glad to learn more about .
Sentence #3: Repeat your interest in the job .
- Friendly version: I would be thrilled to work for , and hope to meet you again as a colleague.
- Business version: I am now even more interested in working with , and appreciate your help with the process.

Mention A Highlight From The Conversation
Again, you want to keep this short and mostly focused on how grateful you are for their time and consideration. But to really stand out and remind the hiring manager of how wonderful the interview was , and remind them of who you are , briefly mention a highlight from the conversation or something you know they really enjoyed hearing or talking about.
For instance, if their eyes lit up and their ears perked when you talked about your excellent communication skills, touch on that again in your thank-you note. If you bonded over having graduated from the same college, a simple P.S. Go Wildcats! might put a smile on their face.
If I Dont Get This Job I Dont Know What Ill Do
Yes, you want that job. But, you still need to avoid these types of phrases that place even more of a burden on that employer. You can be enthusiastic about the opportunity without making it the thing thats solely responsible for your happiness and well-being.
Emotional threats like this one wont do you any favors. On the contrary, they only make you seem desperateand perhaps even a little unstable.

After The Thank You Notes Are Sent
If you dont hear from them for a couple of weeks longer than you expected, dont panic. MUCH could be going on that has nothing to do with you at all. But do reach out to see what is happening. Do NOT contact them daily or even weekly for a decision.
NEVER suspend your job search while you wait for a decision from an employer, even if the job is your dream job.

Each letter should be personalized with specific information that you talked about with each person. Even if the discussions were the same, your letters shouldn’t be.
“Putting the time and effort into personalizing your notes shows that you were paying close attention to the information conveyed by each interviewer,” a career expert at Yale explained. “This will benefit you when the interviewers compare notes which they will do.”

Customize Each Interview Follow
Send a tailored message to each interviewer that demonstrates your genuine interest in the job opportunity and reiterates your qualifications. While you’re in the interview, take note of what the person likes most about your experience so you can highlight those selling points in your follow-up message.
Also, use the little details you learned about the interviewer such as a shared hobby or an upcoming trip in your thank-you note to demonstrate your attention to detail and make your follow-up more memorable.
When To Send A Thank You Note After Job Interviews
Ideally, you can send a thank you note the same day as your interview, so make sure you get the contact information for the hiring manager. Email that person within a few hours of your interview. Be sure to mail your handwritten thank you card that same day or the next due to the time it will take to go through the postal system.
Tip: Keep in mind that the hiring manager may receive your note after a hiring decision is made. Consider signing off by saying that youll welcome any future opportunities with the company if they select another candidate for this role.
If you dont have the hiring managers contact information, you can still send a thank you note to the companys address. Just add Attention: while addressing the envelope. If the company is large, you can also include the department as part of the address.
