How To Write an INTERVIEW FOLLOW UP EMAIL! (The PERFECT Follow Up Email after a JOB interview!)

Subject Line: John Smith Thank You

Dear Mr./Ms. Last Name:

It was a pleasure meeting you the other day and discussing the teaching assistant position at ABC Middle School. I really appreciate the time you took to interview me for the position.

I enjoyed meeting everyone on the sixth-grade team and getting to ask them questions about the teaching assistant position. The more I spoke with you and the team, the more I was convinced that my teaching experience and my passion for small-classroom learning make me a strong candidate for this position.

I look forward to hearing from you next week regarding your final decision. Feel free to reach out to me beforehand with any questions or concerns. Again, my phone number is 555-555-5555.

Thank you again for your time and consideration.

Best,

Express Interest In The Position

Yes, you want the job!

This is the bottom line of why youre following up.

As mentioned earlier, many hiring managers expect candidates to follow up after an interview.

In an initial follow up after an in-person or phone interview, you should make your interest in the company clear:

After learning more about the position, Im eager for the opportunity to be a part of your team and help .

If following up after a second interview, take your interest a little further:

After learning more details about , Im even more enthusiastic about the opportunity to make an impact in the future of .

In an email to check in, you can keep this brief, but reiterate your hope to be hired:

You expressed that you were looking for someone with new ideas and a willingness to put in the hours. Im still interested in the position and am eager for the chance to show you that I could meet your expectations and exceed them.

If hoping to keep in touch, you wouldnt express your interest in the position, but in maintaining professional contact with the individual:

I enjoyed connecting with you. I learned quite a bit by observing the culture at . I would love to keep in touch.

Scenario : Following Up After Asking Someone To Do Something And No Response

Hi ,

Hope youre doing well.

Have you had a chance to ? Once I get then I can .

Let me know if theres anything you had questions about or need any more details.

Thanks,

Tip: Be brief. Be polite by asking if theyve looked it over rather than accuse or point out that you havent received it yet. Add value by giving them context for the urgency if needed or urgency about the next steps. Finish with a call to action so they know what you want them to do and why its important.

The Benefits Of Sending A Thank

Sending a thank-you email has a couple of important advantages over the old-fashioned, paper-and-ink variety of thank-you letter.

With an email, for example, you can do more than remind your prospective employer of your qualities and skills: You can actually show them by including a link to your online portfolio, , or professional social networking profiles.

You’ll also have the opportunity to mention anything you wish you had said during the interview, but didn’t get the chance to discuss.

Sending an email immediately after or within 24 hours of a job interview is crucial if the hiring manager will be making a quick decision.

Ideally, your note will reach the interviewer prior to a hiring decision and while your meeting is still top of mind.

Following Up After A Meeting

Lets say you just had a meeting with a potential customer or client. This follow-up email is polite and provocative in equal measure.

The beginning of this email makes it feel like a conversation between friends, disarming any tension or anxiety of formality. Next, it establishes context, triggering the recipients memory and pulling them into the mind state of the author.

Also, the show of concern and straightforward call to action gives the recipient an invitation to have a conversation. By rounding out the body with added value, the entire email doesnt even feel sales-y.

Finally, the email signature includes a link to the authors website. It is a passive way to encourage the prospect to visit their website and a chance to collect marketing and engagement data.

How do you follow up if you hear nothing back from the company?

Fortunately, this message does not have to be detailed or long.

  • Mention you are still interested in the position
  • Indicate the time frame that was initially agreed upon to get a reply
  • Express that you are hoping to hear back

Tailor Each Email To The Interviewer

The key to any thank-you email is that it’s written specifically for each person who met with you. Sending a generic email can absolutely reduce your chance of getting hired. Recruiters and hiring managers often compare the thank-you notes they get from other candidates, so they’ll know if you send the same generic letter to everyone.

During your interviews, jot down specific things that the recruiter or hiring manager said about the job position or company, as well as anything not related to the job, such as their hobbies or something you have in common. Put these specifics in each thank-you note to show that you were listening and engaged. Also, take the opportunity to address any concerns the recruiter brought up and reiterate how your skills are well-suited for the job.

Be brilliant, but brief. Recruiters and hiring managers are busy and a short, concise email with the information above shows that you respect their time even as you sell your qualifications and continued interest one more time during the hiring decision.

Subject line: Thank you for your time

Dear Mr. Jefferson,

Thank you very much for your time yesterdayit was a pleasure speaking with you about the account executive role. From our conversation, its clear that ABC Inc. has the energetic and hardworking environment Im seeking.

I especially enjoyed discussing your need for someone who can create value and insight during client conversations. Its an interesting challenge, and Ive continued reflecting on it since our meeting. Over the last few years, Ive encountered many of the same roadblocks we discussed: tightening client budgets and lengthy decision-making processes. Prioritizing the quality of the conversation over simple information delivery has been one of my most successful tactics in overcoming those roadblocks and one reason Ive routinely exceeded my quotas.

In my relationships with clients, I focus on building trust and boosting credibility, and Im excited about the prospect of bringing that skill set to ABC Inc. If you need any further information, please feel free to contact me by email or phone.

What To Do If You Didnt Send A Thank You Email

If you didn’t send a thank you email, dont worry! Simply follow these steps to send a thank you email retroactively:

  • Open with a kind greeting.
  • Thank the interviewer for their time at the interview.
  • Make a note of something that happened, such as a joke or a notable moment.
  • Make it clear that youre still excited about the opportunity.
  • Offer references or your availability for additional questions.
  • Close with gratitude.

Im looking forward to hearing from you once the decision is made, and please dont hesitate to contact me if you have any questions or concerns whatsoever! Thanks again for taking the time,Your Name

If the interviewer replies to your thank you email or follow-up email and says they don’t have an update for you, you can also use these two example emails as a template for your own email to reply to the interviewer:

Hi ,Thanks for getting back to me so quickly, and thank you for the update! Ill be available until you make the final decision. Please let me know if there is anything I can do to help or need more information.Take care and thanks again,Your Name

How Do I Keep From Coming Across As Annoying When Following Up

Thank You Email After Phone Interview

This especially applies to the checking in follow up email.

Youre eager to hear back about a decision on the position, but you dont want to come across as overeager, or worse, desperate. And heres how:

  • Keep your note brief, and only add the details needed.
  • Avoid using words like really or super or very.
  • If youve already sent a follow-up, dont send another one for three to five business days.

Here are seven essential parts of every great follow up message.

When Should I Send A Second Follow Up Email

You’ll send your first follow up email right after your interview, but sometimes it will be necessary to send a second follow up email.

You want to wait the appropriate amount of time before reaching out a second time, but you also need to know the job opening’s status in order to take care of your own affairs. If you have the chance, ask at the end of the interview about when you can expect to hear back about a decision. If you don’t hear back from them within this time frame, give them an extra day or 2 before sending a second follow up email to check the status of the job opening.

If they aren’t able to give you a specific time frame for when you’ll hear back from them, wait until one week has passed since your interview before sending a second follow up email to check in.

You’ll want to keep this “checking in” email very brief while remaining polite. Brief emails are more likely to get a quicker response rate.

Should You Send An Email Or A Note/letter

I get asked this frequently: Whats your opinion on sending a thank you email, versus mailing a thank you letter after your interview?

For most people, I recommend email. There are three reasons why:

  • You can make sure it gets delivered at the exact time you want
  • Its easier and takes less time
  • Its more modern and simpler for the company
  • However, in specific cases, you may want to send a thank you letter in the mail after an interview.

    When?

Well, a paper thank you note/letter might be better if youre in a very traditional industry . Or if youre interviewing for a very high-level position .

But for most job seekers, I recommend sending a thank you email.

Job Interview Follow Up: What to Say in Your Interview Follow Up Email

Not every one of your follow-up emails has to be an exhaustive list of the benefits the prospect client stands to gain from your solution. Sometimes, it is okay to zero in on the most relevant value proposition.

This strategy is best after two or three follow-up emails, and there are a couple of advantages to it.

One. Keeping things shorter. As the follow-up emails increase, this keeps you from becoming a nuisance. It can be hard to shake off a negative impression once it is formed.

Two. This is the most critical advantage and it is far more compelling. Dont talk about your product or company or yourself. Just that precious benefit.

Of course, this only works if you do substantive research on your recipient or company.

    Craft A Strong Follow

Email subject lines are important because they determine whether your email gets opened, and how quickly.

I recommend following up with whoever said theyd been in touch after your interview, or if youre not sure, follow up with whoever you were emailing to scheduling the interview.

The person who scheduled your interview is a good person to follow up with to check the status of interview feedback.

The best way to write a subject line for a follow-up email is to simply reply to the latest email thread and leave the previous subject line.

For example, lets say that this was the previous email subject line:

Interview on Thursday at 10:00 AM

You should hit reply in your email program and then the subject line will look like this:

Re: Interview on Thursday at 10:00 AM

Continuing with the existing email thread and leaving the subject line as-is will boost your emails chances of getting opened faster.

The recipient will open your follow-up email because its clear what the email is about .

If you dont have a previous email to reply to, then choose one of the following subject lines for your interview follow-up email:

    • Job interview follow-up
    • Following up regarding interview results
