However, there are some BIG mistakes you need to avoid while doing this, so I want to make sure you know those, too
First, dont let your interview invitation sit for too long. You should try to respond within 24-48 hours if possible. You dont need to be checking email constantly, but dont leave the company waiting for a week, either.
Also, dont respond without taking the time to indicate at least one day or time that would work for an interview. This is a great opportunity to demonstrate that you take initiative and are a great communicator. So Id recommend providing multiple days/times to help them schedule the interview.
Next, always proofread your email! Having a typo or mistake in your email probably wont cost you the interview , but it does make a poor impression.
So always check your email for mistakes before sending it! Proofread from top-to-bottom, and bottom-to-top. Thats a good trick that will help you catch more errors!
And finally the biggest mistake of all going into the interview without preparing! It takes a lot of effort to find a good position to apply to, submit your resume and paperwork, schedule an interview, etc. Right?
How To Write An Interview Request Rejection Email:
There might be multiple different reasons you need to reject an interview. Perhaps you found something else, perhaps you arent interested after all. Whatever it is, you dont need to tell them the specific reason, but you should respond politely. You may be in contact with them for future opportunities, or they could be your future boss in a different company, so its important to keep the door open.

It’s important to be disciplined when sending your follow-up email. Follow this guide for a simple, professional message that gives you the best chance of receiving a response.
There is no need to spend hours deliberating over a snappy subject line. The most effective approach that is likely to get your message opened quickly, is to respond to the most recent email between you and the interviewer or HR manager. If this isn’t possible simply include your name, the date and time of the interview.

If you still havent heard back at that point, Id be very patient. Theres a chance someone necessary for the decision is on vacation or the person you emailed is extremely busy. If you get nothing after 48 MORE hours, you can email somebody else in the company.
I might wait even longer though. Really, at this point, youre not going to gain anything by sending more followups one day sooner. So if in doubt, just wait a bit. I might wait a full week at this point if it were my job search.
However, when you do feel its time to take things further and check back in, heres what to do
Pick the next logical person and send them an email. If you were emailing an HR person before, try the hiring manager or somebody in the department you interviewed in. Or the other way around if youve been emailing with the hiring manager before the interview and theyve gone silent, try checking in with HR.
